Executive Assistant (Technical Analyst – Contract Classification)

Position Overview

Rensel Consulting is seeking a highly organized and proactive Executive Assistant to support the Transportation Systems Management and Operations (TSMO) Bureau Director at the New York State Department of Transportation (NYSDOT).

This is a full-time, onsite staff augmentation position. The selected candidate will be an employee of Rensel Consulting and permanently assigned to work onsite at NYSDOT, functioning as an integrated member of the TSMO team.

This role requires strong coordination skills, attention to detail, and the ability to manage information flow between NYSDOT leadership and Rensel Consulting. The Executive Assistant will play a critical role in keeping priorities organized, meetings productive, and ensuring consistent follow-through on key initiatives.

Key Responsibilities

- Provide direct administrative support to the TSMO Bureau Director

- Manage and maintain a dynamic calendar, including scheduling and prioritizing meetings

- Coordinate meeting logistics (in-person and virtual), including agendas and materials

- Attend meetings, capture clear and actionable notes, and distribute summaries

- Track action items, assignments, and deadlines to ensure follow-through and accountability

- Serve as a coordination link between NYSDOT leadership and Rensel Consulting leadership

- Support ongoing communication, ensuring alignment across teams and initiatives

- Maintain organized records of meetings, decisions, and key documents

- Assist with preparation of presentations, briefings, and correspondence

- Handle sensitive and confidential information with discretion and professionalism

Required Qualifications

- 3+ years of experience in an executive assistant, administrative, project coordination, or similar role

- Demonstrated experience supporting senior leadership

- Strong organizational skills with the ability to manage multiple priorities and deadlines

- Excellent written communication skills, especially for note-taking and summarizing discussions

- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)

- Ability to work onsite full-time at NYSDOT offices in Colonie, NY

- High level of professionalism, reliability, and attention to detail

Preferred Qualifications

- Experience supporting public-sector or government organizations

- Familiarity with transportation, operations, or program management environments

- Experience working in structured, team-oriented environments with clear accountability (e.g., government, military, public safety, or similar settings)

- Demonstrated ability to track tasks, follow through on assignments, and support leadership in execution of priorities

- Prior military service, particularly in roles involving leadership support, coordination, or operations, is valued but not required

Work Structure

- Full-time employee of Rensel Consulting

- Permanently assigned onsite at NYSDOT (50 Wolf Road, Colonie, NY)

- Works directly with the TSMO Bureau Director and coordinates closely with Rensel Consulting leadership

- The TSMO Bureau Director’s schedule is well-managed and prioritized

- Meetings are well-organized, documented, and result in clear next steps

- Action items are consistently tracked and completed

- Communication between NYSDOT and Rensel Consulting is clear, timely, and aligned

- Leadership is supported with accurate, timely, and well-organized information

Pay: $50,000.00 - $60,000.00 per year
