Executive Assistant - TEMPORARY

Position Title: Executive Assistant Reports To: Chief Executive Officer
Job Status: Full-Time / Non-Exempt Direct Reports: N/A
Description of this role: This position is responsible for providing assistance to the CEO; serving as liaison between staff, grantors, and collaborators. Responsible for high level of administrative support by conducting research, preparing reports, handling requests, clerical functions, scheduling meetings, and preparing correspondence.
Duties, Functions and Responsibilities - includes the following and other related duties may be assigned.
  • Provides overall administrative support to the CEO.
  • Works with the CEO and fiscal manager to maintain agency business deadlines.
  • Schedule appointments, meetings, presentations, and travel arrangements.
  • Prepare agency informational packets for distribution.
  • Schedule meeting rooms for all FFSC agency meetings.
  • Prepare for FFSC Board of Directors meetings; take and distribute minutes; order refreshments; receive and make copies of committee reports; maintain/update BOD’s book and contact list.
  • Assist in the preparation of FFSC activities and events. May travel to multiple locations.
  • Prepare letters/mailings; assist in all bulk mailing activities.
  • Maintain and update donations and contributions list; and mail out “Thank you” letters.
  • Serve on the Safety and Special Events Committees.
  • Liaison to IT contractor and perform reception duties.
  • Monitor updates of company website and quarterly e-newsletter.
Knowledge, Skills and Abilities:
  • Must be able to make decisions, prioritize, multitask, be customer service and team oriented.
  • Must be able to maintain confidentiality and able to work independently.
  • Must have strong verbal and written communication skills.
  • Must understand and practice the NASW code of ethics.
  • Must be knowledgeable of FFSC employee policies as well as state/federal laws.
  • Must be able to prepare reports and correspondence for FFSC executive staff.
  • Must have a general understanding of accounting principles.
  • Must develop a working knowledge of all contracts, grants, proposals, and programs.
Educational and Experience Requirements:
  • Associates degree required or equivalent work experience; Bachelor’s degree preferred.
  • Must possess expertise with word processing software and willing to become expert in other FFSC data collection software. Desirable to have some finance/accounting experience.
  • Must possess a valid Missouri driver’s license and have a reliable, insured vehicle.
