Job Overview
Our client, a respected attorney serving a high-net-worth clientele, is seeking a polished, proactive, and highly organized Executive Assistant to support the firm’s daily operations.
This role requires exceptional professionalism, strong emotional intelligence, and the ability to manage a fast-paced workload with accuracy, discretion, and composure. The Executive Assistant will oversee scheduling, communication flow, operational coordination, and act as a direct partner to the attorney in managing priorities and client-facing activities.
Responsibilities
- Coordinate and schedule all new client consultations
- Manage ongoing appointments for existing clients
- Maintain and oversee the attorney’s full calendar, including:
- Court dates
- Depositions
- Mediations
- Deadlines
- Preparation timelines
- Coordinate firm events and holiday events
- Maintain referral lists and send thank-you notes to referral partners
- Order and deliver referral and holiday gifts
- Triage daily emails and flag urgent or high-priority items
- Create, update, and track callback lists
- Assist the attorney with time management and prioritization
- Coordinate with media outlets as needed
- Act as point of contact for IT vendors and website support
- Manage travel arrangements, CLE scheduling, and conference logistics
- Provide daily operational support and complete ad-hoc tasks as requested
