Executive Assistant to Business Owners

Overview:
We are seeking a highly organized and proactive Executive Assistant to provide dedicated support to two business owners. This remote position (must live within 30 minutes of Saginaw, MI) requires a self-starter with strong critical thinking skills, professionalism, and the ability to manage sensitive information with discretion. The Executive Assistant will play a vital role in helping the business owners stay organized, focused, and effective. Men are highly encouraged to apply.

Key Responsibilities:

  • Calendar Management: Coordinate and maintain schedules, meetings, and appointments for both owners
  • Communication Support: Serve as a point of contact by managing emails, phone calls, and messages
  • Travel Coordination: Arrange occasional travel, including bookings, itineraries, and accommodations
  • Meeting Preparation: Organize agendas, take meeting notes, and track follow-ups
  • Document Management: Prepare, proofread, and manage internal and external documents
  • Project Support: Assist with various projects, research tasks, and communications
  • Administrative Tasks: Manage files, monitor task deadlines, and support daily operations
  • Professional Representation: Interact with clients, partners, and vendors with professionalism
  • Confidentiality: Maintain strict confidentiality on all business matters

Qualifications

  • Associate’s or Bachelor’s degree preferred
  • At least 2 years of experience in an administrative or executive assistant role
  • Strong written and verbal communication skills
  • Excellent time management and organizational abilities
  • Proficiency with Google Workspace or Microsoft Office Suite
  • Ability to think critically, solve problems independently, and take initiative
  • Must be reliable, trustworthy, and able to maintain confidentiality
  • Willingness to travel occasionally for meetings or events

Additional Core Requirements:

  • Exceptional communication skills with the ability to engage diverse groups and confidently navigate challenging interactions with professionalism and composure
  • Hands-on ability to build, organize, or support projects from the ground up
  • Highly adaptable, able to manage a range of responsibilities while communicating effectively with staff, inspectors, contractors, and vendors
  • Comfortable and enjoys working in both indoor and outdoor settings
  • Resourceful and proactive in supporting business growth, including outreach, community engagement, and identifying new opportunities

Bonus Skills (Not Required)

  • Experience supporting entrepreneurs or small business owners
  • Familiarity with project management or CRM tools
