Executive Assistant to CEO

Job Summary
We are seeking for freshers who are eager to learn & highly proactive Executive Assistant to support our CEO in driving the company's strategic initiatives and ensuring smooth daily operations. This dynamic role requires a exceptional administrative skills, capable of managing complex schedules, coordinating projects, and handling sensitive information with discretion. Duties

  • Manage the CEO’s calendar with precision, scheduling meetings, appointments, and travel arrangements using tools like Microsoft Outlook Calendar and Google Workspace.
  • Serve as the primary point of contact for internal and external communications, demonstrating professional phone etiquette on multi-line phone systems.
  • Coordinate various projects and events, including planning logistics, preparing materials, and ensuring deadlines are met.
  • Handle office management tasks such as filing, data entry, bookkeeping using QuickBooks, and maintaining organized records.
  • Provide executive administrative support by proofreading documents, transcribing meetings, and preparing reports or presentations as needed.
  • Assist with personal tasks for the CEO when required, acting as a reliable personal assistant to facilitate daily activities.
  • Use office software like Microsoft Office Suite to create correspondence, spreadsheets, and presentations; ensure all documents are accurate through meticulous proofreading.
  • Support front desk operations by welcoming visitors and managing incoming calls with professionalism and courtesy.
  • Utilize DocuSign for signing or sending electronic agreements securely and efficiently.
  • Maintain confidentiality of sensitive information while ensuring seamless communication across departments.

Qualifications

  • Proven experience in executive administrative support or office management roles with a strong background in clerical work.
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
  • Exceptional communication skills including phone etiquette and customer service experience.
  • Ability to handle confidential information discreetly while maintaining professionalism at all times.
