ESTA is seeking a
highly trusted Executive Assistant
to directly support the Chairman of the Board and the General Manager within an international construction and project management environment.
This role goes beyond traditional assistant duties and requires strong organization, discretion, digital agility, and the ability to manage both business and personal priorities efficiently.
Responsibilities

Managing complex calendars, meetings, and daily priorities of senior executives

Coordinating internal and external meetings; preparing agendas, taking notes, and tracking action items

Organizing all domestic and international travel arrangements (flights, visas, accommodation, transfers)

Managing emails, calls, and written correspondence with a high level of confidentiality

Preparing documents, reports, and presentations; maintaining organized digital files
-
Supporting both business and personal agendas with accuracy and discretion

Acting as a communication bridge with key stakeholders, partners, and close contacts

Organizing special dates, gifts, and personal arrangements

Using
AI-based tools and digital platforms
to increase efficiency (calendar optimization, document drafting, summarization, reminders, workflow tracking, etc.)

Proactively identifying improvements in daily workflows and administrative processes.
Qualifications

University degree
-
Advanced English (spoken and written) – mandatory

Russian or Chinese is an advantage

Proven experience as an Executive Assistant to senior management

Strong organizational, prioritization, and problem-solving skills

High level of discretion, trustworthiness, and emotional intelligence

Comfortable working in a fast-paced, changing environment

Strong digital literacy and openness to using AI-supported tools

Flexibility in working hours

Based in Istanbul; no travel restrictions
