Job Overview
We are seeking a highly organized, proactive, and professional
Executive Assistant to the CEO
to support the daily operations and strategic initiatives of our growing company. We are a temporary staffing agency specializing in automotive manufacturing staffing solutions and manufacturing consulting services.
This role requires someone who can manage multiple priorities in a fast-paced environment while maintaining confidentiality, professionalism, and strong attention to detail. The ideal candidate is resourceful, dependable, and capable of anticipating the needs of executive leadership.
This role is not a traditional 9-to-5 position and requires a high level of flexibility and responsiveness. The Executive Assistant should be available to support business needs outside of standard working hours, including occasional evenings and weekends
Responsibilities

Manage and maintain the CEO’s calendar, appointments, meetings, and travel arrangements

Coordinate internal and external communications on behalf of the CEO

Prepare reports, presentations, meeting agendas, and correspondence

Support client communications within the automotive manufacturing industry

Organize meetings, conference calls, and company events

Maintain confidential business records and sensitive information

Track projects, deadlines, and follow-up items to ensure timely completion

Assist with office administration, expense tracking, and operational support

Communicate professionally with clients, employees, and leadership teams

Help streamline processes and improve operational efficiency

Perform additional administrative and executive support duties as assigned

Provide occasional personal assistance to the CEO, including handling personal appointments, managing select personal accounts or bills, coordinating purchases, and assisting with day-to-day tasks as needed
Qualifications

Previous experience as an Executive Assistant, Administrative Assistant, Office Manager, or similar role preferred

Strong organizational and multitasking abilities

Excellent verbal and written communication skills

Proficiency in Microsoft Office Suite, Google Workspace, and scheduling platforms

Ability to handle confidential information with professionalism and discretion

Strong problem-solving skills and attention to detail

Ability to work independently and prioritize tasks effectively

Professional demeanor and strong interpersonal skills
Preferred Skills

Experience supporting executive leadership
