Executive Assistant – Finance, Legal & Regulatory
Role Overview
We are hiring a highly structured, detail-driven Executive Assistant to support senior leadership handling Finance, Legal, and Regulatory functions.
This role requires strong coordination ability, disciplined follow-ups, and precise documentation control. The person must ensure that financial, legal, and compliance workflows move efficiently across internal teams and external consultants.
Key Responsibilities
1. Finance Coordination
- Maintain structured trackers for compliance filings and financial deadlines.
- Coordinate with internal accounts team, auditors, tax consultants, and banks.
- Prepare basic financial summaries, payment trackers, and status reports.
- Ensure all documentation required for audits, lending, and reporting is complete and organized.
2. Legal & Compliance Support
- Maintain tracker for all legal matters, agreements, notices, and compliance requirements.
- Coordinate with consultants, and internal stakeholders.
- Draft simple letters, covering notes, undertakings, follow-up emails, and document templates.
- Maintain a structured digital and physical document management system.
- Track contract execution timelines and documentation gaps.
3. Inter-Department Coordination
- Follow up consistently with internal teams and consultants to ensure timely delivery.
- Maintain action trackers for all ongoing matters.
- Circulate Minutes of Meetings (MOM) with clear action points and deadlines.
- Escalate delays or risks proactively.
- Ensure no task remains untracked or undocumented.
4. Reporting & Documentation Control
- Prepare daily/weekly status summaries for leadership.
- Maintain master trackers for ongoing projects and compliance requirements.
- Ensure version control and proper archiving of important documents.
- Organize structured folders for easy retrieval of agreements and filings.
Required Profile
- 3–7 years of experience as an Executive Assistant / Executive Coordinator.
- Preferably from real estate, finance, legal, infrastructure, or compliance-heavy environments.
- Strong drafting skills in professional English.
- Excellent follow-up ability — persistent but professional.
- Advanced Excel and document management skills.
- Highly organized, detail-oriented, and process-driven.
- High integrity and confidentiality standards.
- Calm and efficient under pressure.

Job Type: Full-time
Pay: ₹30,000.00 - ₹50,000.00 per month
