Key Responsibilities:
Executive Support:
- Provide comprehensive administrative support to the Director, managing their calendar, meetings, and appointments.
- Coordinate travel arrangements, including booking flights, hotels, and transportation for the Director and other senior executives as needed.
- Prepare reports, presentations, and documents for the Director’s meetings with internal and external stakeholders.
Liaison & Communication:
- Act as the primary point of contact for all communication with the Director, both internally and externally.
- Draft and proofread correspondence, emails, and other documentation on behalf of the Director.
- Maintain effective communication and strong working relationships with stakeholders, including clients, contractors, suppliers, and senior management.
Document Management & Record-Keeping:
- Organize and maintain the Director’s files, documents, and records, ensuring timely retrieval and proper archiving.
- Oversee document scanning, categorization, and digital file management to ensure seamless access to important files.
- Assist in the preparation and editing of important documents, contracts, and reports.
Meeting & Event Coordination:
- Organize and manage meetings, including scheduling, preparing agendas, and ensuring all necessary materials are available.
- Attend meetings with the Director as needed and take minutes to provide follow-up on action items.
- Coordinate logistics for events, presentations, and conferences, including internal and external meetings with key stakeholders.
Confidentiality & Data Management:
- Handle sensitive information with the utmost confidentiality and discretion.
- Ensure all documentation, reports, and communications remain secure and comply with the company’s data management standards.
Desired Skills & Qualifications:
- Education: Bachelor’s degree or equivalent (preferably in Business Administration, Management, or related field).
- Experience: Minimum of 3 years of experience in an Executive Assistant role or similar administrative position, preferably supporting senior leadership in the construction industry.
- Languages: Fluency in English, Marathi, and Hindi (both written and spoken) is essential.
Technical Skills:
- Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with document management, database management systems, and document scanning is a plus.
Soft Skills:
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks simultaneously and meet deadlines.
