Role: Executive Assistant to Founder
Office Location: Barsha Heights, Dubai (Onsite)
Reports to: Founder
Work Mode: Full-time, onsite with flexibility for extended hours & travel
This role currently requires a male candidate due to specific operational and travel-related requirements.

Role Summary

We are seeking a highly organized and proactive Executive Assistant to support our Founder and leadership team in Dubai.


Key Responsibilities


1. Calendar, Meetings & Travel

· Manage and prioritize a complex, multi-time-zone calendar.

· Organize high-level meetings, prepare agendas, and ensure material readiness.

· Plan and execute end-to-end travel (flights, visas, accommodation, transport).

· Draft, review, and manage executive correspondence with confidentiality.


2. Stakeholder & Regulatory Coordination

· Act as the Founder’s representative with senior clients, government authorities, and international teams, fostering credible and professional relationships.

· Build and maintain strong relationships with internal and external partners.

· Manage stakeholder reporting, ensuring timely updates to leadership.

· Oversee compliance requirements and license renewals, ensuring 100% adherence to UAE Mainland and Free Zone regulations.


3. Documentation, Personal and Investment Management

· Develop polished reports, dashboards, and presentations for leadership.

· Ensure all submissions, renewals, and related documentation are completed on time.

· Maintain accurate, up-to-date records of all personal and family documents.

· Manage the founder’s UAE investment portfolio, maintaining regular contact with the respective POCs to ensure everything is monitored and updated.


4. Business Operations and Agency Coordination

· Work closely with team leads and external agencies on Facebook’s media buying business, staying updated on spends, trends, and allocations while making sure timely payments are released to the agencies.

· Support day-to-day office operations including payments, bills, contracts, and upkeep of company assets.


Tools & Software

· Productivity: Google Workspace, MS Office Suite, Notion & AI Tools (Like ChatGPT)

· Project/Task Management: Zoho 1, Smartsheet (or equivalent)

· Transcription/Notes: Fireflies, Otter AI (or similar)
