Darkblue Technology L.L.C., a leading system integrator and du channel parnter in the UAE focusing, is seeking a highly professional and detail-oriented Executive Assistant to the General Manager (GM). This role provides comprehensive administrative and personal support to the GM and ensures the smooth operation of daily office activities.


Key Responsibilities

1. Executive Support to GM


  • Manage the GM’s daily schedule, appointments, meetings, and travel arrangements


  • Prepare meeting agendas, presentations, minutes, and follow-up action items


  • Handle confidential business and personal documents, filing, and record keeping


  • Coordinate internal and external communications on behalf of the GM


  • Assist in preparing reports, correspondence, and bilingual documents (English/Chinese where needed)


2. Office Administration


  • Oversee day-to-day office operations including supplies, documentation, printing, and mail


  • Support administrative processes, workflow tracking, and document control


  • Manage meeting room bookings, visitor coordination, and general office logistics


  • Support procurement requests and internal administrative tasks


3. Financial & Document Handling


  • Organize receipts, invoices, payment vouchers, and assist finance with reconciliations


  • Maintain proper filing of contracts, purchase orders, supplier records, and official documents


  • Assist with reimbursements, petty cash records, payment preparation files, and vendor follow-up


4. Coordination & Communication


  • Act as a key point of contact between the GM, internal teams, partners, suppliers, and clients


  • Follow up on assigned tasks across departments to ensure timely completion


  • Draft professional emails, letters, and internal communications


Requirements

  • Strong sense of responsibility, confidentiality, and professionalism


  • Excellent organizational, time-management, and multitasking abilities


  • Bachelor’s degree in Business Administration, Communications, or related field


  • Minimum 3 years’ experience as Executive Assistant / Personal Assistant / Admin in the UAE


  • Proficiency in MS Office


  • Strong written and verbal communication in English (Chinese is a plus, but not mandatory)


  • Ability to handle urgent tasks and occasional overtime


Preferred Qualifications


  • Previous experience supporting senior executives (GM/CEO/Director level)


  • Familiarity with contract filing, document management, and finance-related paperwork


  • UAE driving license is a plus


  • Experience in technology, IT, or system integration industries is advantageous
