Kensington Hospital is seeking a highly organized and proactive Executive Assistant to support the Hospital CEO in managing a dynamic and fast-paced healthcare environment. This vital role involves providing comprehensive administrative support, coordinating schedules, and ensuring seamless communication across departments. Responsibilities
- Manage the CEO’s calendar, scheduling appointments and meetings, using Microsoft Outlook Calendar,
- Act as the primary point of contact for internal and external communications, demonstrating excellent phone etiquette and professionalism on multi-line phone systems.
- Prepare, proofread, and transcribe correspondence, reports, and meeting minutes with accuracy and attention to detail.
- Handle office management duties including filing, data entry, and maintaining organized records in compliance with hospital policies.
- Utilize office software such as Microsoft Office Suite (Word, Excel, PowerPoint) to produce professional documents and presentations.
- Assist with document signing processes through platforms like DocuSign and ensure timely completion of administrative tasks.
- Maintain confidentiality of sensitive information while ensuring smooth daily operations across departments.
Experience
- Proven experience as an executive assistant supporting senior leadership in a healthcare or corporate environment.
- Demonstrated proficiency in office management tasks including filing systems, data entry and clerical work.
- Strong organizational skills with the ability to multitask effectively in a fast-paced setting.
- Exceptional communication skills—both verbal and written—and professional phone etiquette.
- Experience handling confidential information with discretion.
- Ability to adapt quickly to changing priorities while maintaining attention to detail; prior experience in office or hospital environments is highly desirable.
