Job Summary:
We are seeking a highly professional and detail-oriented Executive Assistant to provide direct administrative and operational support to a Partner at our law firm. The ideal candidate must possess exceptional organizational skills, discretion, and the ability to manage multiple tasks in a fast-paced legal environment. This role requires a proactive individual who can anticipate needs, streamline processes, and maintain confidentiality while handling sensitive legal and business matters.
Key Responsibilities:
Administrative & Executive Support:
- Manage the partner’s daily schedule, including scheduling meetings, and client consultations.
- Screen and prioritize emails, phone calls, and correspondence.
- Draft, proofread, and edit legal documents, correspondence, and reports.
- Coordinate travel arrangements, including flights, accommodations, and itineraries.
- Prepare and submit expense reports and track reimbursements.
- Liaise between partner and bookkeeping/accounting firm.
- Download and organize bank documents for accounting.
Legal & Case Management Support:
- Organize and maintain case files, ensuring easy access to important documents.
- Conduct basic legal research and compile case-related materials.
- Track case deadlines, court filings, and statute of limitations requirements.
Client & Office Management:
- Serve as a primary point of contact for clients, scheduling meetings and maintaining professional relationships.
- Handle confidential client information with the utmost discretion.
- Liaise with other attorneys, paralegals, and administrative staff to ensure smooth case progression.
Qualifications & Skills:
- Bachelor’s degree or equivalent work experience.
- Minimum of 5 years as an Executive Assistant, Legal Assistant, or Administrative Professional in a law firm.
- Knowledge of legal terminology, case management, and court procedures.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and legal practice management software.
- Excellent written and verbal communication skills.
- High level of professionalism, discretion, and ability to handle confidential information.
- Strong organizational and multitasking abilities, with attention to detail.
- Ability to work independently while managing multiple priorities.
Job Type: Full-time
Pay: $90,000.00 - $120,000.00 per year
