Executive Assistant to Leadership Team

About the Role

We are seeking a highly organized, proactive Executive Assistant to support multiple senior executives in a fast-growing management consulting firm.

This opportunity is not a traditional administrative role. The right candidate will act as a strategic operations partner to our leadership team — managing calendars, coordinating meetings, supporting travel logistics, preparing materials, and helping ensure the smooth execution of key projects and events.

Our firm works with entrepreneurial business leaders across the country, and this role will play an essential part in helping our executives operate at a high level.

Duties

  • Manage and maintain senior executives' calendars using Microsoft 365 tools, scheduling meetings, appointments, and travel arrangements with precision.
  • Provide comprehensive administrative support, including drafting correspondence, proofreading documents, and transcribing meetings to ensure clarity and professionalism.
  • Coordinate projects across departments by tracking deadlines, preparing reports, and facilitating communication among team members to meet organizational goals.
  • Organize and oversee office management tasks such as filing, data entry, bookkeeping using QuickBooks, and maintaining office supplies inventory.
  • Plan and execute company events, meetings, and conferences by handling logistics, including venue booking, catering arrangements, and technical setup.
  • Utilize office software, including Microsoft 365, Office Suite (Word, Excel, PowerPoint), Google Workspace tools, and DocuSign for document signing processes to streamline administrative workflows.

Key ResponsibilitiesExecutive Support

  • Manage complex calendars for multiple executives
  • Coordinate internal and external meetings across time zones
  • Anticipate scheduling conflicts and proactively resolve them
  • Prepare executive briefing materials and meeting agendas

Meeting & Event Coordination

  • Coordinate Zoom, Microsoft Teams, and in-person meetings
  • Prepare presentation materials and meeting documents
  • Track action items and follow-ups from meetings
  • Send post-meeting communication and summaries
  • Provide on-site support for leadership meetings and workshops

Travel & Logistics

  • Coordinate domestic travel, including flights, hotels, and transportation
  • Prepare detailed travel itineraries
  • Assist with expense tracking and reporting
  • Support logistics for off-site meetings, workshops, and conferences

Communication & Content Support

  • Assist executives with presentation formatting
  • Create and update presentation materials using Canva and Adobe tools
  • Organize documents and files in Office 365 and SharePoint
  • Support webinar or virtual meeting logistics when needed

Systems & Administrative Support

  • Maintain organized digital filing systems
  • Assist with CRM-related administrative tasks in Keap
  • Support special projects and internal initiatives

Required Skills & Experience

  • 3–7+ years of experience as an Executive Assistant, Senior Administrative Assistant, or Operations Coordinator
  • Experience supporting multiple senior leaders
  • Experience in consulting, professional services, or fast-paced organizations preferred

Technical Skills

Strong proficiency with:

  • Microsoft Office 365 (Outlook, Word, Excel, PowerPoint)
  • Microsoft Teams
  • Zoom
  • Canva
  • Adobe Creative Suite
  • CRM systems (Keap experience preferred)

Compensation

Salary Range: $55,000 – $75,000, depending on experience

This role is based in Phoenix, Arizona, with a hybrid work structure and regular in-person meetings or events.
