Executive Assistant to Managing Attorney (Fully Remote)

Position Summary:

We are seeking a warm, confident, and highly organized Executive Assistant to support our Managing Attorney. This role is approximately 95% dedicated to attorney support and 5% supporting other team members as needed. This is not a traditional administrative role. This is a high-trust, relationship-driven position for someone who enjoys being a steady presence behind a busy professional—keeping priorities clear, commitments tracked, and days running smoothly.

The ideal candidate is proactive, emotionally intelligent, and comfortable holding others accountable in a respectful and professional way. You enjoy following up, closing loops, and reminding people (sometimes more than once) of what matters most. You are not afraid to speak up, ask questions, or gently call someone out when needed.

This role is designed for someone who wants to be an elite Executive Assistant long-term and take pride in being a key support person in a growing firm.

Key Responsibilities:

Executive & Priority Support

  • Manage the Managing Attorney’s calendar, including scheduling, rescheduling, prioritizing commitments, and protecting focused work time.
  • Serve as a gatekeeper and thought partner around time, priorities, and follow-through.
  • Proactively remind the Managing Attorney of upcoming deadlines, decisions, and commitments, including consistent follow-up when items are unresolved.
  • Prepare for meetings by organizing agendas, documents, and key talking points.
  • Attend meetings as needed to take notes, track action items, and ensure follow-up.

Inbox & Communication Management

  • Manage and triage the Managing Attorney’s inbox, including responding where appropriate, flagging priorities, and ensuring timely follow-up.
  • Draft and send professional, warm, and clear correspondence on behalf of the Managing Attorney.
  • Ensure nothing important slips through the cracks.

Client & Team Coordination

  • Interface directly with clients as needed to schedule meetings, request information, and provide updates.
  • Support other team members occasionally with scheduling, coordination, and administrative tasks.
  • Act as a calm, professional point of contact for internal and external communications.

Organization, Systems & Follow-Through

  • Track tasks, deadlines, and commitments across matters and conversations.
  • Create and maintain simple systems, checklists, and workflows to support consistency and follow-through.
  • Identify opportunities to improve processes and reduce friction for the Managing Attorney and the team.
  • Ensure documents, notes, and information are organized and easy to access.

Qualifications:

  • Proven experience as an Executive Assistant, Senior Administrative Assistant, or similar role supporting a busy professional or executive.
  • Exceptional follow-through and organizational skills; you genuinely enjoy keeping things on track.
  • Comfortable reminding, prompting, and following up—without frustration or resentment.
  • Confident, warm communicator who can speak up respectfully and professionally.
  • High emotional intelligence and discretion; trusted with sensitive information.
  • Self-directed and proactive; you anticipate needs rather than waiting to be asked.
  • Tech-savvy and comfortable using digital tools, calendars, task managers, and AI platforms to improve efficiency.
  • Legal or professional services experience is a plus, but not required.
  • Alignment with our firm values of ownership, client service, integrity, and growth.

Benefits:

  • Remote work.
  • Accrual of PTO at the rate of one day for each full month of employment up to a maximum of 15 accrued days. May use accrued PTO after three months of employment and may use PTO for vacation, illness, or other reasons.
  • $350 per month (after 30 days of employment) to use toward health benefits (medical, dental, vision).
