The practice of law in North Carolina is changing. At Villmer Caudill, PLLC, you can be part of that change.
VC is a fully remote business law and litigation firm based in Charlotte, North Carolina. We serve businesses and their owners across North Carolina—and we do it without the trappings of a traditional law office. No commute. No outdated equipment. Just sharp, motivated professionals doing great work from home.
We're growing fast, and we're looking for an Executive Assistant who is ready to grow with us.
The Role
This is not a general administrative position. This is a high-trust, high-discretion role built around one purpose: protecting the Managing Partner's time so he can focus on what only he can do.
You will serve as the operational right hand to one of VC's Managing Partners—managing his inbox, owning his calendar, and making sure he walks into every meeting, call, and commitment fully prepared. If you thrive on anticipating needs before they're spoken, take pride in being two steps ahead, and understand that your success is measured by your principal's effectiveness, this role was built for you.
This position is 100% remote, but you must reside in the Charlotte-metro area.
Core Responsibilities
- Monitor, triage, and organize the partner's email inbox—flagging items requiring urgent response, filtering noise, and drafting responses for partner review
- Manage the partner's calendar with a time-protection mindset—scheduling client appointments, potential client calls, referral partner meetings, and internal obligations while guarding focus time
- Prepare briefing materials ahead of meetings—client background, agenda items, outstanding issues—so the partner walks in ready
- Coordinate travel, meals, and logistics for in-person meetings and events
- Draft, proofread, and send partner correspondence as directed
- Track partner follow-up commitments and action items to ensure nothing falls through the cracks
- Support referral partner outreach logistics—scheduling introduction calls, coordinating follow-up cadences, and preparing touchpoint materials
- Liaise with the Firm Administrator on scheduling matters that intersect with firm-wide operations
- Support the partner through other daily tasks, including assistance with personal matters as needed
Qualifications
- 3+ years supporting C-suite or senior professional executives; law firm or professional services experience preferred
- 4-year college degree
- Exceptional written communication—capable of drafting polished correspondence in a partner's voice
- Absolute discretion with confidential client and business information
- Proactive rather than reactive—you identify what needs to happen before being asked
- Highly organized, with strong command of calendaring tools, email management systems, and remote collaboration platforms
- Remote-work discipline: available, responsive, and self-directed during core business hours
- Must reside in the Charlotte-metro area
