About the Role
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our Managing Principal on a part-time basis (25 hours per week), with the possibility to extend to 30 hours per week in the future. This is a high-impact role that goes beyond traditional administrative support. You will help bring structure, organization, and efficiency to daily operations and initiatives.
The ideal candidate is someone who thrives in a fast-paced environment, anticipates needs before they arise, and is comfortable balancing administrative responsibilities with marketing, proposal coordination, and special project support.
Position Duties and Responsibilities Include:
Executive Support
- Manage and prioritize the Managing Principal’s calendar, meetings, and commitments
- Provide structure and organization to email communications, including drafting, editing, and prioritizing correspondence
- Coordinate internal and external meetings, including agendas, materials, and follow-ups
- Act as a gatekeeper and facilitator to optimize the Managing Principal’s time
Proposals & Business Development Support
- Assist in the preparation and development of proposals
- Maintain proposal templates, and related documentation
Marketing & Administrative Coordination
- Support marketing initiatives
- Help maintain and update company marketing materials
- Assist with event coordination and client-facing activities as needed
Office Management
- Ensure the office is well-maintained, organized, and fully stocked with necessary supplies and equipment
- Support general administrative and technology needs across the office
Projects and Systems Administration
- Maintain and update internal systems with accurate project and business information
Special Projects
- Provide support on ad hoc initiatives, strategic efforts, and internal projects.
Requirements:
- 2-3+ years of experience in an executive assistant, operations assistant, or similar role.
- Associates and/or bachelor’s degree in a relevant field preferred, but not required.
Qualifications/Skills
- Strong organizational and time management skills with exceptional attention to detail
- Proficiency in Microsoft Office (Outlook, Word, Excel, etc.) and familiarity with project management tools
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and adapt quickly in a dynamic environment
- Experience supporting proposals, marketing efforts, or business development activities is highly preferred.
Pay and Benefits:
- Pay range based on experience and qualifications:
- $35 - $45 per hour
