Job Summary

We are seeking a highly organized and proactive Executive Assistant to support the Managing Director (MD) in all administrative, operational, and coordination activities. The ideal candidate will have strong experience working at a senior executive level, preferably within the real estate or construction sector, and must be capable of managing confidential information, handling complex schedules, and coordinating with internal and external stakeholders.

Key Responsibilities

Executive Support

  • Manage the MD’s calendar, appointments, meetings, and travel itineraries.
  • Prepare meeting agendas, minutes, presentations, and reports.
  • Act as the primary point of contact between the MD and internal teams, partners, consultants, and relevant authorities.
  • Screen and prioritize emails, calls, and requests; handle correspondence on behalf of the MD.
  • Ensure timely follow-ups and completion of action items assigned by the MD.

Business & Operational Coordination

  • Coordinate with project teams, site engineers, sales teams, and vendors to gather project updates and prepare executive summaries.
  • Assist in reviewing contracts, project documentation, approvals, and key business reports.
  • Support the MD in monitoring project timelines, deliverables, operational performance, and compliance.

Administrative & Logistical Management

  • Organize events, business meetings, site visits, and client interactions.
  • Handle confidential files, legal documents, and sensitive business information with discretion.
  • Manage travel bookings, expense reports, reimbursements, and related documentation.

Strategic Support

  • Conduct basic research, competitor analysis, and data gathering required for strategic decision-making.
  • Draft official communications, letters, proposals, and business correspondence.

Qualifications & Requirements

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Minimum 5+ years of experience as an Executive Assistant, preferably supporting senior leadership.
  • Real estate, construction, or developer-sector experience is strongly preferred.
  • Excellent communication skills (written & verbal).
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • High level of professionalism, integrity, and discretion in handling confidential matters.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work under pressure, handle tight deadlines, and be available for extended hours when required.
