We are seeking a highly motivated, strategic, and proactive Executive Assistant to provide direct, comprehensive support to our Managing Director, driving operational efficiency and project success.
Key Responsibilities
1. Strategic Project and Operational Management
- Project & Cost Management: Work closely with the MD to undertake and oversee Project and Cost Management functions for steel building and steel structure projects. This includes tracking budgets, monitoring timelines, managing vendor/subcontractor payments, and ensuring adherence to quality standards.
- Execution of Change: Serve as the MD's key liaison in executing strategic and operational changes across the organization, ensuring new directives are communicated, implemented, and monitored effectively.
- Reporting & Analysis: Prepare detailed reports, presentations, and financial summaries on project statuses, company performance, and strategic initiatives for the MD and executive team.
- Risk & Compliance: Assist in identifying project risks and ensuring compliance with relevant industry regulations and internal standards.
2. High-Level Executive Support
- Correspondence & Communication: Manage and prioritize the MD's professional correspondence, including emails, calls, and written communications, drafting sophisticated responses on behalf of the MD as required.
- Meeting Management: Plan, schedule, and coordinate high-level meetings, site visits, and conference calls, preparing agendas, compiling necessary materials, and accurately recording and distributing minutes and follow-up actions.
- Gatekeeping: Efficiently manage the MD's schedule, acting as a crucial filter and primary point of contact, ensuring the MD's time is utilized for the highest-priority tasks.
3. Personal & Administrative Support
- Travel Coordination: Handle all aspects of the MD’s professional and personal travel, including complex itineraries, domestic and international flight/accommodation bookings, and visa processing.
- Personal Needs: Proactively manage and coordinate various personal and official needs of the MD as they arise, ensuring seamless integration between professional and personal commitments.
- Documentation: Organize and maintain highly confidential files, documents, and records with absolute discretion.
Candidate Profile
- A Bachelor’s degree in Business Administration, Engineering, or a related field.
- Proven experience (5+ years preferred) in an Executive Assistant, Chief of Staff, or similar high-level support role, ideally within the Engineering, Construction, or Manufacturing sector.
- Strong understanding of Project Management principles, particularly as applied to steel construction (PEBs, Space Frames, etc.), with a demonstrable grasp of cost control and budgeting.
- Exceptional organizational, time management, and problem-solving skills with meticulous attention to detail.
- Impeccable communication skills (written and verbal) and the ability to interact professionally with stakeholders at all levels.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management software.
