We are seeking a highly organized, proactive, and dependable Executive Assistant to the Operations Manager to provide comprehensive administrative and operational support. The ideal candidate will be capable of managing multiple responsibilities, coordinating tasks efficiently, and supporting day-to-day operations in a fast-paced environment. This role requires strong communication skills, attention to detail, adaptability, and a willingness to learn and take on additional responsibilities as assigned.
Key Responsibilities:
- Provide direct administrative assistance to the Operations Manager, including scheduling, calendar management, and meeting coordination.
- Prepare reports, presentations, and internal documentation as required.
- Manage emails, correspondence, and follow-ups on behalf of the Operations Manager when assigned.
- Maintain organized and confidential digital records and documentation.
Operational Support:
- Assist in coordinating daily operational activities and tracking task progress.
- Ensure deadlines are met and follow up on pending tasks.
- Support the implementation of internal processes and operational workflows.
- Coordinate with internal teams to ensure smooth communication and execution of tasks.
Communication & Coordination:
- Act as a point of contact between the Operations Manager and internal departments.
- Communicate instructions, updates, and information clearly and professionally.
- Ensure accuracy, professionalism, and confidentiality in all forms of communication.
Administrative & Miscellaneous Duties:
- Perform data entry, reporting, and documentation tasks as required.
- Conduct basic research and compile information when requested.
- Be flexible and willing to take on additional responsibilities as assigned by management.
Required Skills & Qualifications:
- Proven experience as an Executive Assistant, Administrative Assistant, or in a similar role (preferred).
- Strong organizational, multitasking, and time-management skills.
- Excellent written and verbal communication skills in English.
- Ability to work independently in a remote environment.
- High level of professionalism, discretion, and attention to detail.
- Proficiency in Microsoft Office / Google Workspace and other productivity tools.
- Strong problem-solving skills and a proactive, learning-oriented mindset.
Preferred (Added Advantage):
- Prior experience in sales, particularly within the U.S. real estate market, will be considered a strong plus.
- Familiarity with CRM systems or sales-related documentation is an advantage.
Working Hours & Conditions
- Shift Duration: 9-hour evening/night shift
- Work Mode: Fully remote
- Availability: Must be available during assigned working hours and responsive to operational needs
