Executive Assistant to the CEO

JOB PROFILE: EXECUTIVE ASSISTANT TO THE CEO

US-Offsite is seeking a proactive, detail-oriented Executive Assistant to support our CEO in both professional and personal capacities. This role is central to keeping operations running smoothly by managing schedules, coordinating communication, and ensuring follow-through on priorities. You’ll work closely with the CEO in a high-trust environment, acting as a strategic gatekeeper and trusted executor of details. This is a hands-on, relationship-driven role that requires clear communication, sharp judgment, and a high degree of ownership.

WHAT YOU HAVE ALREADY ACHIEVED (Minimum Requirements):

  • Proven experience in an Executive Assistant or high-level administrative support role
  • Excellent written and verbal communication skills, with the ability to represent someone else’s voice professionally
  • Discretion, trustworthiness, and ability to handle confidential information
  • Strong attention to detail and proactive problem-solving skills
  • Highly organized, able to manage many moving pieces independently
  • Comfortable with last-minute changes and adapting to shifting priorities
  • Tech-savvy: proficient with Microsoft 365 (Outlook, Excel, Teams, OneDrive), and Zoom

WHAT SETS YOU APART (Preferred Requirements):

  • Experience working in a startup, construction, or operations-heavy environment
  • Familiarity with the Elite Execution System or Elite Operating System
  • A warm, relational approach with professionalism and clarity

WHAT YOU ARE GREAT AT (Day-to-Day Responsibilities):

Calendar, Meeting, and Communication Management

  • Manage the CEO’s calendar with a high level of autonomy — prioritize meetings, protect focus time, and reschedule as needed
  • Schedule all internal and external meetings, including client visits and recurring team check-ins
  • Join meetings to take notes, track tasks, and facilitate follow-up on deliverables
  • Manage the CEO’s inbox, including drafting, replying, and sending communication on his behalf when needed
  • Represent the CEO on LinkedIn and other professional messaging platforms

Travel & Logistics

  • Plan and book travel arrangements including flights, hotels, rental cars, and meeting itineraries
  • Coordinate travel schedules, typically involving single or two-stop trips
  • Support logistics and hospitality for client visits, especially when travel is involved

Personal & Administrative Support

  • Provide light personal support such as booking travel for family, paying bills, coordinating home repairs, or managing household logistics in coordination with the CEO’s spouse
  • Assist with administrative tasks connected to other companies and partnerships in San Luis Obispo
  • Occasionally liaise with contractors or vendors for personal and professional needs

Accountability & Follow-Through

  • Track and organize the CEO’s key deliverables, helping him stay accountable to what he’s committed to across the organization
  • Monitor and report on key numbers or metrics the CEO is responsible for within US Offsite
  • Opportunity to take on or lead special projects in areas of expertise

SCHEDULE:

  • Full-Time: 30-40 hours per week
  • In the office daily with some remote flexibility

COMPENSATION AND CAREER GROWTH:

  • $25-$35/hour depending on experience
  • Opportunities for performance-based increases
