Reporting To: Chief Executive Officer (CEO)
Location: Jeddah
Nationality Requirement: Saudi Only

Role Overview

We are seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive administrative and coordination support to the CEO.

This role focuses on high-level executive assistance, calendar management, communication handling, and coordination of business priorities, while also supporting select personal scheduling requirements. The ideal candidate will be detail-oriented, dependable, and capable of operating in a fast-paced executive environment.

Key Responsibilities Executive Support

  • Manage and maintain the CEO’s calendar, ensuring effective prioritization of meetings and commitments.
  • Organize meetings, prepare agendas, and record meeting minutes when required.
  • Screen emails, calls, and correspondence, prioritizing urgent matters appropriately.
  • Prepare professional presentations, reports, and briefing documents.
  • Draft correspondence and formal communications on behalf of the CEO.
  • Coordinate follow-ups with internal departments to ensure timely execution of tasks.
  • Maintain strict confidentiality of executive information and documentation.

Travel & Event Coordination

  • Arrange business travel (flights, accommodation, transportation, visas if required).
  • Coordinate logistics for conferences, official meetings, and events.
  • Support RSVP management and official engagement coordination.

Administrative & Office Management

  • Maintain organized digital and physical filing systems.
  • Support document management and record keeping.
  • Ensure smooth day-to-day operations within the Executive Office.

Personal Scheduling (Limited Scope)

  • Coordinate personal appointments and selected family-related scheduling.
  • Liaise with service providers when necessary to ensure seamless planning.

Qualifications & Experience

  • 3–7 years of experience as an Executive Assistant supporting senior leadership.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • High level of discretion, professionalism, and reliability.
  • Proficiency in Microsoft Office and calendar management systems (Outlook, Google Calendar).
  • Ability to multitask and work under pressure with attention to detail.
