Executive Assistant to the CEO

Role Overview
We are seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive administrative and coordination support to the CEO.
This role focuses on high-level executive assistance, calendar management, communication handling, and coordination of business priorities, while also supporting select personal scheduling requirements. The ideal candidate will be detail-oriented, dependable, and capable of operating in a fast-paced executive environment.
Key Responsibilities Executive Support
- Manage and maintain the CEO’s calendar, ensuring effective prioritization of meetings and commitments.
- Organize meetings, prepare agendas, and record meeting minutes when required.
- Screen emails, calls, and correspondence, prioritizing urgent matters appropriately.
- Prepare professional presentations, reports, and briefing documents.
- Draft correspondence and formal communications on behalf of the CEO.
- Coordinate follow-ups with internal departments to ensure timely execution of tasks.
- Maintain strict confidentiality of executive information and documentation.
Travel & Event Coordination
- Arrange business travel (flights, accommodation, transportation, visas if required).
- Coordinate logistics for conferences, official meetings, and events.
- Support RSVP management and official engagement coordination.
Administrative & Office Management
- Maintain organized digital and physical filing systems.
- Support document management and record keeping.
- Ensure smooth day-to-day operations within the Executive Office.
Personal Scheduling (Limited Scope)
- Coordinate personal appointments and selected family-related scheduling.
- Liaise with service providers when necessary to ensure seamless planning.
Qualifications & Experience
- 3–7 years of experience as an Executive Assistant supporting senior leadership.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- High level of discretion, professionalism, and reliability.
- Proficiency in Microsoft Office and calendar management systems (Outlook, Google Calendar).
- Ability to multitask and work under pressure with attention to detail.
