Job Summary
Our client, a mission-driven non-profit organization in Newark, NJ, is seeking a highly skilled Executive Assistant to provide comprehensive administrative, operational, and strategic support to the CEO & Senior Pastor. This role requires a proactive and highly organized professional who thrives in a fast-paced, faith-centered environment, balancing multiple priorities with discretion and efficiency.
As the first point of contact for the CEO & Senior Pastor, the Executive Assistant will ensure seamless execution of executive operations, special initiatives, worship service coordination, and community engagement efforts—all while upholding the highest standards of confidentiality and trust.
Key Responsibilities:
Executive Support:
● Manage the CEO & Senior Pastor’s complex calendar, including scheduling meetings,
appointments, and travel arrangements.
● Serve as the primary point of contact for internal and external stakeholders, ensuring
professional and timely communication.
● Prepare reports, presentations, and correspondence on behalf of the CEO & Senior
Pastor.
● Handle confidential and sensitive information with discretion.
● Support board and church leadership meetings, including scheduling, preparing
materials, and documenting minutes.
● Assist with research, strategic planning, and implementation of key initiatives.
Operational & Administrative Coordination:
● Oversee executive workflow, prioritizing tasks and deadlines for efficiency.
● Maintain organized records, files, and systems to enhance productivity.
● Provide logistical and administrative support for events, meetings, worship services, and
initiatives.
● Manage special projects as assigned, ensuring timely execution and quality outcomes.
● Act as a liaison between departments, staff, church leadership, and external partners to
facilitate collaboration.
● Order and maintain office and hospitality supplies for the CEO & Senior Pastor’s office.
Worship & Program Support:
● Assist in the planning and execution of organizational programs, worship services,
community outreach, and events.
● Prepare and format worship materials for weekly services and special church events.
● Provide hospitality support, arranging meals, accommodations, and logistics for
meetings, events, and guests.
● Edit and format sermon manuscripts for print and online publication.
● Provide administrative support to church governance, including preparing materials for
meetings and maintaining communication with committees.
● Support grant writing, donor relations, and fundraising initiatives.
Social Media & Communication Support
● Assist with social media management, including content creation, scheduling, and
engagement for outreach.
● Support internal and external communication efforts, ensuring alignment with the
ministry’s mission and values.
● Draft professional correspondence, newsletters, and digital communication materials.
Qualifications & Skills:
● Minimum of 5 years of executive-level administrative experience, preferably in a
non-profit, faith-based, or mission-driven organization.
● Exceptional organizational, time management, and multitasking skills.
● Strong written and verbal communication skills, with the ability to draft professional
correspondence and reports.
● High level of discretion and professionalism when handling sensitive information.
● Proficiency in Microsoft Office Suite, Google Workspace, and project management tools.
● Experience managing virtual meetings, digital files, and CRM platforms.
● Ability to work independently and collaboratively in a fast-paced environment.
● Strong problem-solving skills and a proactive approach to challenges.
Preferred Qualifications:
● Experience supporting executive leadership in a faith-based or non-profit organization.
● Familiarity with donor relations, community engagement, and event coordination.
● Background in project management, strategic planning, or communications.
● Proficiency in social media management for outreach and engagement.

Work Environment & Schedule:
● Hybrid role with a strong in-office presence required.
● Schedule: 9:00 AM – 4:30 PM
● Some evening and weekend availability may be required for key events, worship
services, and community initiatives.
