Position Overview

The Executive Assistant to the CEO/President acts as a strategic time-multiplier for executive leadership while managing RugsUSA’s New York City office. This fully onsite role handles high-stakes C-suite administrative workflows, oversees daily NYC workspace operations, and provides ad-hoc logistical support to facilities in Cranbury, NJ, and Stockton, CA, to ensure cross-site operational alignment. The ideal candidate brings significant C-suite support experience within a retail or e-commerce organization. They are highly polished, possess exceptional judgment, and expertly leverage AI productivity tools to streamline workflows and anticipate executive needs.

Essential Job Functions

  • Manage the CEO/President’s complex calendar, prioritizing high-stakes retail operations, strategy alignment and board meetings.
  • Coordinate internal and external communications, including scheduling, follow-up, and correspondence.
  • Prepare high-impact retail performance presentations, board metrics, meeting agendas, and action items regarding e-commerce and digital transformation initiatives.
  • Arrange executive travel, lodging, itineraries, and expense reports.
  • Serve as a trusted liaison with senior leaders, board members, partners, and cross-functional teams within the organizations operations.
  • Support day-to-day office operations for the New York City office workspace, including managing team requests, facility access, and workplace optimization.
  • Maintain seamless operational alignment and communication flow between the NYC corporate office and the Cranbury, NJ and Stockton, CA logistics, fulfillment, and distribution facilities.
  • Assist with executive events, leadership meetings, and special projects as needed.

You Have

  • 5 + years of experience supporting C-suite executives, preferably a CEO, President, Founder, or other senior executive specifically within a retail, e-commerce, or high-growth consumer business environment with demonstrated understanding of retail, e-commerce operations, inventory, merchandising cycles, seasonal planning, and fast-paced business demands.
  • Bachelor’s degree in business administration, Communications, or a related field, or equivalent experience.
  • Proficient in AI productivity tools and digital workflows, with the ability to leverage technology to improve efficiency, organization, communication, and output quality.
  • Advanced proficiency in Microsoft Office, especially Outlook, PowerPoint, Excel, and Word.
  • Strong organizational skills with exceptional attention to detail and follow-through.
  • Excellent written and verbal communication skills within a highly professional environment.
  • Proven ability to handle confidential information with professionalism and discretion.
  • Ability to manage multiple priorities, solve problems independently, exercise sound judgment, and adapt quickly to changing business needs.
  • Strong relationship-building skills with the ability to collaborate effectively across executive, corporate, and operational teams.
  • Ability and willingness to work full-time, onsite in the New York City office, with flexibility to travel to the other facilities as needed.

The pay range for this role is:
105,000 - 115,000 USD per year(Manhattan Office)
