Executive Assistant to the COO

Position Summary
Guggenheim is seeking a proactive Executive Assistant to support the Chief Operating Officer. Reporting into the Director of Investment Banking Administration, this person will support the C-Suite executive in all administrative functions in order to increase the time the COO dedicates for leadership responsibilities. The ideal candidate must exercise excellent judgment, have exceptional communication skills, demonstrate strong customer service and professionalism, and handle numerous projects and a heavy workflow with a high level of accuracy. The successful candidate will have experience supporting senior level executives and be comfortable interacting with other high-level members of the team and external clients in a fast paced, ever-changing environment.
The Executive Assistant role is located in New York 4 days in office and 1 day remote.
Essential Job Functions

General administrative support including:
-
Acting as a gatekeeper
-
Heavy Call Volume while prioritizing importance & taking detailed messages

Manage complex calendar across different time zones

Manage travel arrangements and prepare itineraries

Process expense reports
-
Back-up CEO’s Administrative team as needed

Perform other related duties as assigned or requested
Preferred Qualifications
-
Proficiency in Microsoft Office, Outlook, PowerPoint, Word and Excel

Knowledge of DealCloud CRM and Workday preferred but will train
-
Strong interpersonal, organizational, communication and problem- solving skills

Strict attention to detail with ability to prioritize issues appropriately

Detail-oriented and able to multi-task in a fast-paced environment

Hands-on and willing to roll up sleeves to perform any and all responsibilities needed to ensure success
Basic Qualifications
-
Undergraduate degree in Business or a related field
-
5-10 years related administrative experience preferred preferably in an investment bank or financial institution
Work Location
-
Currently, this role is expected to be in the New York office at least 4 days per week.
Salary
-
Annual base salary between $95,000 and $110,000.
-
The base salary range represents the low and high end of the anticipated base salary range for this position. Actual base salaries may vary depending on factors such as location and experience. The range listed reflects base salary only, and the total compensation package may include other components such as incentive compensation.
