Faculty and staff members are expected to be physically present on campus as needed to support the in-person educational experience and on-campus vitality at the University of West Georgia. Depending upon teaching assignments and student demand, this could include the Carrollton or Newnan campuses.
The Executive Assistant to the Dean of the College of Education provides advanced, proactive administrative, operational, and strategic support to ensure the effective leadership and daily functioning of the Dean's Office. The Executive Assistant serves as a key point of contact for university leadership, college administrators, P-12 district partners, and state education agencies. The position requires a high level of professionalism, discretion, initiative, and the ability to manage complex workflows in a fast-paced environment.
Administrative & Operational Support
¿ Manage the day-to-day activities of the Dean¿s Office, including scheduling, correspondence, and workflow organization to ensure timely and effective execution of priorities for the Dean and all Associate Deans.
¿ Manage the Dean¿s calendar and college¿level calendar including meetings with institutional leadership, internal administrators, external partners, and state agencies.
¿ Monitor, prioritize, and respond to incoming communications on behalf of the Dean as directed.
¿ Plan, prepare agendas for, and document minutes from leadership meetings and college-level faculty meetings.
¿ Coordinate travel arrangements and professional engagement logistics for the Dean.
Faculty Affairs & Academic Operations
¿ Support processes related to faculty recruitment, hiring, onboarding, credentialing, promotion and tenure, and annual evaluations.
¿ Maintain confidential faculty and personnel files in accordance with institutional and state policy.
Budget & Financial Administration
¿ Process purchase orders, expense reimbursements, invoices, and procurement documents for the Dean¿s Office.
Facility and Technology Management
¿ Oversee day-to-day facility needs for the college to include coordinating office assignments, managing maintenance and repair requests, and ensuring meeting spaces, administrative areas and classrooms are functional, organized and adequately equipped to support academic and operational activities.
¿ Prepare and submit major building project requests in accordance with institutional procedures and timelines.
¿ Serve as the point of contact for Instructional Technology Services to facilitate technological needs for administrators, staff, and faculty.
School Partnerships & External Relations
¿ Assist with school¿university partnership activities and professional learning events as requested.
¿ Support the preparation and distribution of partnership communications and documentation.
¿ Oversee COE scholarship process and coordinate with college departments to select and award the funding.
Event Planning & College Engagement
¿ Manage logistics, scheduling, communication, and materials for college initiatives and celebrations including Dean¿s Office retreats, awards ceremonies, and commencement ceremonies.
Educational Requirements
Bachelor's degree in education, business administration, public administration, communication, or a related field.
Required Experience
¿ Five or more years of progressively responsible administrative or executive¿support experience.
¿ Proficiency with Microsoft Office/365 tools.
¿ Strong written and verbal communication skills.
¿ Demonstrated ability to manage confidential information with integrity and discretion.
¿ Excellent organizational and time¿management skills.
¿ Ability to work independently, anticipate needs, and solve problems proactively.
¿ Strong interpersonal skills and ability to work with various groups of stakeholders.
Preferred Experience
¿ Experience within an institution of higher education.
¿ Knowledge of public higher¿education policies and procedures.
¿ Experience supporting faculty affairs processes.
¿ Experience supporting school¿district partnerships.
Salary is commensurate with experience.
