Executive Assistant to the Executive Director Position Summary

The Executive Assistant to the Executive Director provides high-level administrative and organizational support to the Executive Director and leadership team. This role is responsible for managing schedules, coordinating meetings, handling communications, and supporting key initiatives that contribute to the overall operation of the community.

This position plays a critical role in maintaining efficiency, organization, and professionalism within the Executive Office. The Executive Assistant serves as a liaison between departments, leadership, and external partners, ensuring clear communication and timely follow-up on priorities.

This role contributes to a well-coordinated and responsive leadership environment that supports Legacy Pointe at UCFs commitment to Hospitality, Service, and Accountability.

Essential Duties and Responsibilities
  • Manage the Executive Directors calendar, including scheduling meetings, coordinating appointments, and prioritizing time-sensitive matters
  • Coordinate and prepare for meetings, including agendas, materials, minutes, and follow-up actions
  • Serve as a point of contact for internal and external communications, ensuring timely and professional responses
  • Assist with drafting correspondence, reports, presentations, and internal communications on behalf of the Executive Director
  • Coordinate leadership meetings, community events, and special initiatives as directed
  • Maintain organized records, files, and documentation for the Executive Office
  • Support project coordination and follow-up on key initiatives across departments
  • Assist with tracking deadlines, action items, and leadership priorities to ensure timely completion
  • Collaborate with department leaders to support communication flow and operational alignment
  • Handle sensitive and confidential information with a high level of discretion and professionalism
  • Assist with vendor coordination, invoices, and administrative tracking as needed
  • Provide general administrative support to the Executive Director and leadership team
  • Participate in special projects and initiatives as assigned

Qualifications and Requirements

  • Associate or Bachelors degree in Business Administration, Healthcare Administration, Communications, or a related field completed or currently in progress
  • At least one (1) year of experience in administrative support, executive support, or a related office environment preferred
  • Experience working in senior living, healthcare, or a service-oriented environment is a plus
  • Strong organizational skills and attention to detail
  • Professional written and verbal communication skills
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Comfort using Microsoft Office applications including Word, Excel, and Outlook
  • Ability to manage multiple priorities and adapt in a fast-paced environment
  • Strong interpersonal skills and the ability to work effectively with leadership and team members
  • Experience supporting executives, coordinating meetings, or managing calendars is preferred but not required
