Job Overview
We are seeking a proactive and highly organized Executive Assistant to provide comprehensive administrative support to the Executive Director and CEO of our charter school. The Executive Assistant will play a critical role in facilitating the efficient operation of the Executive Director's/CEO's offices, managing schedules, coordinating meetings, and handling communications. The ideal candidate will possess excellent organizational skills, attention to detail, and the ability to handle confidential information with discretion.
Responsibilities
- Manage the Executive Director's/CEO's calendars, scheduling appointments, meetings, and events, and coordinating logistics to ensure efficient use of time.
- Coordinate and prepare materials for meetings, including agendas, presentations, and reports, and provide follow-up support as needed.
- Serve as the main contact point for internal and external stakeholders, screening and prioritizing incoming communications, and drafting responses for the Executive Director/CEO.
- Arrange travel accommodations, including flights, hotels, and transportation, and prepare itineraries for domestic and international travel.
- Maintain accurate and organized files, records, and documents, including confidential information, contracts, policies, and procedures.
- Draft, edit, and proofread correspondence, reports, and presentations for the Executive Director/CEO, ensuring accuracy, clarity, and professionalism.
- Assist with special projects, initiatives, and events as assigned by the Executive Director/CEO, providing research, analysis, and logistical support.
- Assist in coordinating meetings and communications with the Board of Directors, preparing meeting materials, and ensuring compliance with governance requirements.
Qualifications
- Bachelor's degree in Business Administration, Communications, or related field preferred.
- Proven experience as an executive assistant or administrative professional, preferably in education, nonprofit, or corporate settings.
- Excellent organizational skills, with the ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.
- Strong written and verbal communication skills, with the ability to communicate effectively with internal and external stakeholders.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace (Gmail, Google Calendar, Google Docs).
- Discretion and professionalism in handling confidential information and communications.
