The Role

We are seeking a highly capable Executive Assistant to support the founders and leadership team. This is a high-impact role that goes beyond traditional administrative support—you will help keep leadership focused, projects coordinated, and operations running smoothly across multiple active jobs.

The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced, multi-project environment. You will act as a central point of coordination across executives, project teams, clients, and vendors.

Key Responsibilities

Executive Support

Manage complex and dynamic calendars, prioritizing competing demands
Coordinate meetings with clients, consultants, subcontractors, and internal teams
Draft and manage professional correspondence and internal communications
Coordinate travel logistics and detailed itineraries
Serve as a gatekeeper and liaison for executive communications

Operations & Project Coordination

Support active construction projects through documentation, scheduling, and coordination
Track project deadlines, deliverables, and follow-ups across multiple teams
Assist with permits, contracts, and project documentation organization
Coordinate with project managers, subcontractors, and consultants
Help ensure clear communication between office and field teams

Financial & Administrative Support

Track invoices, expenses, and reimbursements
Assist with vendor coordination and basic bookkeeping
Maintain organized filing and document systems

General Support

Assist with company events, meetings, and team coordination
Build strong cross-functional relationships
Take ownership of ad hoc projects and problem-solving as needed

Qualifications

5+ years experience supporting executives or leadership teams
Experience in construction, real estate, architecture, or related industries preferred
Strong organizational and project coordination skills
Excellent written and verbal communication
Ability to manage multiple priorities in a fast-paced environment
High level of discretion and professionalism
Proactive mindset with strong problem-solving ability
Bachelor’s degree preferred but not required

Technical Skills

Microsoft Office (Outlook, Excel, Word, PowerPoint, Teams)
Google Workspace
DocuSign and document management tools
Familiarity with construction documentation is a plus

Compensation & Benefits

$115,000 – $145,000 base salary (depending on experience)

This is an in-office role based in San Francisco (not remote)
Occasional visits to project sites and meetings
