Executive Assistant to the Pastors - Part-Time
Supervision:
The Executive Assistant to the Pastors to the will report to the Senior Pastor.
Position Summary:
The Executive Assistant to the Pastors provides high-level administrative, organizational, and ministry support to the Pastors of the Missouri United Methodist Church (MUMC). This role ensures the Pastors’ time and energy are maximized for spiritual leadership, preaching, pastoral care, and community outreach. The Executive Assistant serves as a trusted partner, handling sensitive information with discretion and embodying the values of the Methodist tradition.
Key Responsibilities
- Manage the Pastors’ calendar, appointments, scheduling and travel arrangements. Serve as the first point of contact for the Pastors’ offices
- Assist with responding to phone calls and emails, including initiating those responses without supervision
- Support pastoral care efforts by tracking those in need and scheduling visits, follow-ups and prayer requests
- Assist with communication between the Pastors, staff, congregation and district leadership
- Prepare presentations, agendas, minutes, and materials for church meetings and committees as requested
- Draft, edit, and distribute correspondence, reports, and presentations
- Assist in maintaining accurate church records, membership rolls, and databases as needed
- Attend staff meetings
- Serve as backup to assigned staff members as needed
- Other duties as assigned
- Handle sensitive information with strict confidentiality
- Uphold the mission and values of MUMC in all duties
Qualifications
- Strong organizational and project management skills
- Excellent written and verbal communication abilities
- Proficiency with office software (includes Microsoft products)
- Ability to work independently and collaboratively in a fast-paced environment
- Prior experience in executive assistance, administration, or ministry support preferred
- Commitment to Christian faith and familiarity with Methodist tradition and polity
Working Conditions
- Reports directly to the Senior Pastor, but also completes work for other Pastors and the Church Administrator
- Flexible schedule may include evenings, weekends, and holidays depending on church activities
- Combination of office work, event support, and ministry engagement
Hours:
Approximately 20 hours per week. This is a non-exempt, part-time position subject to the personnel policies of the church for non-clergy employees. Any offer of employment is contingent upon candidate becoming Safe Gatherings-certified, as required by Missouri United Methodist Church’s Safe Gatherings policies. Pay: $23.00 - $25.00 per hour
