Executive Assistant to the President

Overview

We are seeking a highly organized, proactive Executive Assistant to support the President of a growing heavy equipment rental, sales, and service company. This role goes beyond traditional administrative support—the right person will become a trusted partner and extension of the President, helping manage priorities, drive initiatives forward, and keep day-to-day operations running smoothly.

What You’ll Do

  • Manage the President’s calendar, scheduling meetings, travel, and daily priorities
  • Coordinate meetings, including agendas, materials, and follow-ups
  • Screen calls, emails, and requests; respond or delegate as needed
  • Serve as a liaison between the President and internal teams (rental, sales, service, parts, admin)
  • Draft and send professional communications on behalf of the President
  • Track key projects and ensure deadlines and action items are followed through
  • Organize company meetings, events, and planning sessions
  • Maintain organized records, documents, and files
  • Anticipate needs, solve problems proactively, and help drive the President’s priorities forward

What We’re Looking For

  • 2+ years of Executive Assistant or high-level administrative experience
  • Strong organizational and time management skills
  • Excellent communication skills (written and verbal)
  • High level of professionalism and confidentiality
  • Ability to prioritize and handle multiple tasks in a fast-paced environment
  • Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint)
  • Valid driver’s license
