Job Title: Executive Assistant to the President

Job Summary:
We are seeking a highly reliable, organized, discreet, and loyal Executive Assistant to provide exceptional full-scope support to the President of a well-established, fast-growing Sports Media Advertising firm. This critical role is ideal for a proactive, kind, and hard-working assistant who is genuinely passionate about enabling executive success — both professionally and personally — in a fast-paced, exciting industry. This role is also eligible for a year-end bonus in addition to base salary.

You will serve as the trusted right-hand partner, managing a wide range of administrative, operational, and personal support tasks with precision and discretion. This is more than a standard administrative position: it is an opportunity to directly contribute to the President's effectiveness and the Company's continued growth by anticipating needs, solving problems, and maintaining an "always-on" mindset. The successful candidate will thrive on building a strong, long-term partnership with a seasoned executive who has deep experience across MSG, Fenway Sports Group/NESN, Fox Sports/Broadcasting, Disney/ABC Television, and iconic professional sports teams including the New York Yankees, Knicks, Rangers, Islanders, New Jersey Devils, Boston Red Sox, and Bruins.

Key Responsibilities:

  • Participate in a daily 1:1 meeting with the President to align on priorities, projects, and upcoming needs.
  • Proactively manage and optimize the President's complex calendar, including scheduling professional meetings, personal appointments, business trips, and travel arrangements.
  • Accompany the President on occasional domestic and/or international travel as needed to provide on-site support.
  • Coordinate projects, events, and logistics with exceptional attention to detail, ensuring seamless execution from start to finish.
  • Handle data entry, document preparation, and other administrative tasks accurately and efficiently.
  • Manage office supplies inventory and place orders as needed to support smooth operations.
  • Provide support to the finance team on basic accounting tasks, such as invoicing, expense reporting, and reconciliation.
  • Deliver outstanding client service by responding promptly to inquiries and resolving issues professionally.
  • Assist with general office management to enhance workplace efficiency inlcuding tracking vacation schedules and managing the company's Outlook calendar.
  • Attend and support occasional client entertainment events, including lunches, dinners, and travel, as required.
  • Perform any other administrative or special projects as directed by the President.

Requirements:

  • A genuine passion for providing dedicated, proactive, and responsive support to a high-level executive, with an "always-on" commitment to the President's and the Company's goals (including occasional availability on evenings, weekends, or during travel when necessary).
  • Exceptional organizational skills and the ability to manage multiple priorities simultaneously in a fast-moving environment.
  • Strong coordination and problem-solving abilities, with the highest degree of discretion and loyalty when handling sensitive information.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), DocuSign, and other relevant tools.
  • Excellent verbal and written communication skills.
  • Ability to work independently with minimal supervision while also collaborating effectively as part of a team.
  • Prior administrative or executive support experience is preferred; a positive attitude, strong work ethic, and eagerness to grow in a dynamic sports media environment are essential.

Job Type: Full-time

Pay: $55,000.00 - $62,000.00 per year
