We are looking for a sharp, adaptable person to work directly alongside our President at International Jet Interiors - a boutique VIP aircraft refurbishment company based at MacArthur Airport in Ronkonkoma, New York.

This is not a traditional administrative role. It sits at the intersection of executive support, sales operations, office management, and business coordination. The right person will free the President to focus entirely on what only he can do. Everything else gets handled.

THE ROLE

Executive Assistant to the President

Full-time On-site Ronkonkoma, New York

Reports directly to: Eric H. Roth, President

WHAT YOU’LL DO

Executive Support

  • Coordinate and follow up on executive priorities on behalf of the President.
  • Manage the President’s calendar, priorities, and schedule.
  • Prepare briefings, agendas, and follow-up summaries.
  • Draft and send correspondence in the President’s voice.
  • Attend meetings on behalf of the President and ensure follow-up actions are completed.
  • Track every open commitment. Nothing falls through the cracks.

Sales Support

  • Support proposals, opportunity tracking, and client follow-up.
  • Maintain CRM records and pipeline status.
  • Handle client onboarding communications.
  • Research prospects and prepare materials for business development.

Office Administration

  • Filter all incoming communications. Handle or redirect what doesn’t need the President.
  • Coordinate travel and itineraries for the President.

Delegate Authority

  • Serve as an extension of the President’s office - attend meetings, make decisions within defined scope, represent IJI.
  • Communicate and enforce President’s directives. Follow-through happens without him having to circle back.
  • Handle sensitive matters with complete discretion and always maintain confidentiality.
  • Surface issues with context, options, and a recommended action - never just the problem.

WHAT WE’RE LOOKING FOR

Attitude and aptitude come first. This role demands a high degree of insight and adaptability. The right person may not have a polished resume — but they are sharp, self-aware, and fast.

They read a room. They figure things out. They adjust without being told to. We are hiring for those qualities above all else.

Background & Experience

  • Recent college graduate or up to 2–3 years of experience in an administrative, operations, or executive-facing role.
  • Direct experience is a plus - not a requirement. Strong aptitude and the right instincts will be considered equally.
  • Client-facing business environment is an advantage. Aviation, manufacturing, luxury goods, or professional services is a strong plus.

Technical Skills

  • Exceptional writer - clear, professional, and able to write in someone else’s voice.
  • Strong Microsoft Office and cloud-based tool proficiency.
  • Organized and systematic across multiple workstreams simultaneously.
  • Comfortable with contracts and business correspondence.

AI Proficiency Required

This is not a bonus skill. Someone fluent with AI tools fundamentally changes what the President can delegate. We want someone who already works this way.

  • Uses modern AI tools such as ChatGPT, Claude, Grok and similar platforms to draft correspondence, summarize meetings, conduct research, create first drafts, and improve workflows.
  • We want someone who already works this way.
  • Creates effective prompts that produce useful business output.
  • Exercises sound judgment when reviewing AI-generated content - knows when to use it, refine it, or discard it.
  • Continuously identifies new AI-driven efficiencies for the President's office.

How You Work

  • Self-directed with a strong bias toward action.
  • Proactive communicator - the President never has to ask for a status update.
  • Composed under pressure in front of clients, vendors, and staff.
  • Knows what to handle and what to escalate - and gets that judgment right.
  • Sound judgment on tone, timing, and sensitivity when acting in the President’s name.

What Success Looks Like After 90 Days

  • The President's calendar, travel, and priorities are organized and running smoothly.
  • Open commitments are tracked and followed through without reminders.
  • CRM records and client follow-up are current and accurate.
  • Incoming requests are triaged effectively, allowing the President to focus on high-value activities.
  • You have become a trusted extension of the President's office.
  • Scope, responsibility, and decision-making authority will continue to expand as trust and capability are demonstrated.
