Executive Assistant to the President & CEO

We are seeking a highly organized and proactive Executive Assistant to support the President & CEO of our dynamic organization. Duties

  • Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
  • Provide comprehensive executive administrative support, including drafting correspondence, proofreading documents, and transcribing meetings or notes.
  • Coordinate a variety of projects and events, from planning logistics to executing details efficiently to ensure successful outcomes.
  • Handle office management tasks such as filing, data entry, bookkeeping using QuickBooks, and maintaining organized records.
  • Serve as the primary point of contact through multi-line phone systems, demonstrating excellent phone etiquette and customer service skills.
  • Oversee personal assistant responsibilities including managing personal appointments, errands, and confidential matters for the President & CEO.
  • Facilitate communication across departments by preparing reports, presentations, and summaries with high attention to detail and accuracy.
  • Support bookkeeping activities through invoicing, expense tracking, and reconciling accounts as needed.
  • Assist with event planning for corporate functions or community engagements by coordinating vendors, venues, invitations, and logistics.

Qualifications

  • Proven experience in executive administrative support or office management roles; prior personal assistant experience is highly desirable.
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with DocuSign for electronic signatures.
  • Demonstrated experience with calendar management tools such as Microsoft Outlook Calendar and Google Calendar.
  • Skilled in data entry, transcription, proofreading, and clerical tasks with high accuracy.
  • Knowledge of QuickBooks for bookkeeping purposes; experience with front desk operations or multi-line phone systems is a plus.
  • Exceptional communication skills—both verbal and written—with professional phone etiquette and customer service orientation.
  • Ability to handle sensitive information discreetly while maintaining confidentiality at all times.
  • Experience in event planning or project coordination is preferred but not required; a proactive attitude toward problem-solving is essential. Job Type: Full-time

Pay: $50,318.46 - $60,598.57 per year
