The President & Chief Information Security Officer (CISO) leads AlphaRidge’s day-to-day operations, drives business development with high-value clients and channel partners, and oversees security and compliance across the business.
This Executive Assistant role is designed for someone who thrives in a fast-paced, client-facing environment and can serve as a true force multiplier. You will operate as the President’s right hand managing the flow of communication, driving follow-ups, keeping projects moving, coordinating across internal teams and external stakeholders, and ensuring nothing falls through the cracks.
Key Responsibilities
Inbox, Communication & Follow-Up
The President manages a high volume of client, partner, and internal communications daily. This role requires someone who can draft, edit, and send professional correspondence on behalf of the President with minimal supervision while keeping threads organized and closing loops.
- Draft and manage email and SMS correspondence and follow-ups to clients, vendors, partners, and internal leaders on behalf of the President
- Monitor the President’s inbox, flag urgent items, and triage communications by priority, client impact, and required action
- Prepare client-facing proposals, rate adjustment letters, vendor communications, and partnership follow-ups, ensuring tone and content align with the President’s voice and intent
- Track outstanding communications and follow-up cadences using a simple system (tracker + reminders), especially for time-sensitive matters like security incidents, contract renewals, and rate adjustments
Calendar, Meetings & Operating Rhythm
- Own and manage the President’s calendar, proactively resolving conflicts and protecting focus time for strategic work
- Schedule and coordinate meetings with clients, prospects, internal leadership (Director of Operations, engineering leads, account managers), and external partners
- Coordinate scheduling across time zones, particularly for offshore team members (e.g., Philippines-based staff working US hours) and distributed engineering resources
- Prepare meeting agendas, briefing documents, and pre-read materials so the President arrives informed and ready for every interaction
- Manage recurring cadences: client check-ins, internal leadership syncs, security/program reviews, and key project stand-ups
Project & Executive Operations Support
- Track action items, deliverables, and deadlines across AlphaRidge (MSP/MSSP operations), security initiatives, and strategic priorities—surfacing blockers and ensuring follow-through
- Maintain a running status view of active hiring processes, role transitions, staffing changes, and onboarding workflows—flagging items that need President input or decision
- Support strategic initiatives and partnerships: track outreach, schedule key meetings, maintain supporting materials, and coordinate with legal and finance as needed
- Assist with logistics for industry conferences and events (as applicable), including sponsor coordination and attendee communications
Client & Stakeholder Coordination
- Serve as a professional point of contact for client owners, vendor partners, and external stakeholders, managing introductions and scheduling on the President’s behalf
- Coordinate with AlphaRidge’s Director of Operations and account management team on client communications, proposal development, and service delivery updates
- Track client engagement history and contract timelines to keep the President prepared for renewals, rate discussions, escalations, and business reviews
- Liaise with external partners including accountants, attorneys, compliance advisors, and recruitment agencies as needed
Document & Information Management
- Prepare, format, and proofread business documents including job descriptions, SOWs, client proposals, role catalogs, compliance documentation, and board materials
- Maintain organized digital files across business units: contracts, proposals, hiring materials, investor documents, and compliance records
- Create and maintain templates for recurring documents (client rate letters, hiring packages, onboarding checklists, meeting agendas, and stakeholder follow-ups) to streamline the President’s workflow
- Research and prepare briefing summaries on topics as needed—market trends, competitor activity, potential hires, client industries, and regulatory developments
Personal & Administrative Support
- Manage travel arrangements, expense reporting, and logistics for client visits, conferences, and investor meetings
- Handle confidential and sensitive information with absolute discretion—including client data, financial information, security incidents, personnel matters, and equity/investment details
- Anticipate the President’s needs and proactively solve problems before they escalate, particularly during high-intensity periods (security incidents, critical client escalations, contract deadlines)
- Provide occasional personal administrative support as needed to help the President maintain work-life balance
QualificationsRequired
- 5+ years of experience as an Executive Assistant, Executive Operations Partner, or similar role supporting a C-level executive ideally in a fast-paced, multi-entity environment
- Exceptional written communication skills with the ability to draft professional correspondence in the President’s voice across varied contexts (client relations, partner communications, internal leadership, vendor negotiations)
- Demonstrated ability to manage complex, multi-stakeholder calendars with competing priorities and time zone considerations
- Strong organizational skills and attention to detail with the ability to track dozens of concurrent workstreams without dropping balls
- High emotional intelligence and interpersonal awareness—understanding when to be direct, when to be diplomatic, and how to read situations involving sensitive client or team dynamics
- Absolute discretion with confidential information including financial data, security incidents, personnel decisions, and equity arrangements
- Proficiency with Microsoft 365, Google Workspace, and modern collaboration tools; comfort with PSA/ticketing systems (e.g., Halo PSA) is a strong plus
- Self-starter mentality: you don’t wait to be told what to do—you anticipate needs, flag risks, and take initiative
Preferred
Experience in or exposure to managed IT services, cybersecurity, or technology companies. Experience supporting executives who manage client-facing relationships in professional services. Background in healthcare IT, financial services compliance, or government contracting environments is a significant advantage. Comfort working with offshore or distributed teams across time zones.

Pay: $60,596.32 - $72,976.21 per year
