Executive Assistant to the President & Vice President

Overview
We are seeking a highly organized and proactive Executive Assistant to support the President and Vice President of our organization. This dynamic role offers an exciting opportunity to be at the heart of executive operations, providing essential administrative support that drives efficiency and success. Responsibilities

  • Serve as a trusted partner to the President and Vice President, helping manage priorities and key initiatives
  • Manage complex executive calendars, meetings, and travel arrangements
  • Act as a liaison between executives, internal departments, clients, and external partners
  • Prepare executive reports, presentations, and briefing materials
  • Coordinate and track strategic initiatives and company priorities
  • Ensure follow-up on key action items, deadlines, and leadership directives
  • Support leadership meetings by preparing agendas, tracking decisions, and documenting outcomes
  • Assist with operational planning and special projects across departments
  • Draft executive communications, internal announcements, and correspondence
  • Identify opportunities to improve internal processes and organizational efficiency
  • Maintain confidentiality while handling sensitive company information

Skills

  • 5-10 years proven experience in executive administrative support or personal assistant roles with strong organizational skills.
  • Exceptional proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools.
  • Demonstrated ability to manage calendars effectively using Microsoft Outlook Calendar or similar scheduling software.
  • Strong event planning skills with experience coordinating meetings, conferences, and corporate events from start to finish.
  • Excellent communication skills with professional phone etiquette; capable of handling multi-line phone systems confidently.
  • Skilled in bookkeeping tasks using QuickBooks; experienced in basic office management duties such as filing, document proofreading, transcription, and clerical support.
  • Familiarity with office technology including DocuSign for electronic signatures; adept at maintaining organized filing systems both digitally and physically.
  • Ability to multitask efficiently in a fast-paced environment while maintaining attention to detail; strong customer service orientation is essential. Pay: $60,000.00 - $70,000.00 per year
