The Bellefonte Area School District is accepting applications for the Executive Assistant to the Superintendent.
Location: Bellefonte Area Central Office
Type: Full-time, 12 month position
Department: Administrative Office-Administrative Operational Service Staff Personnel
Reports To: Superintendent
POSITION SUMMARY:
This high-level 12-month support position requires experience in handling a wide range of executive support related tasks. Must work independently with little or no supervision, be exceedingly well-organized, flexible, and be able to work in an environment with frequent interruptions. Must be able to exercise sound judgment and discretion, and work under a high level of stress and changing priorities. The ability to interact positively and effectively with district personnel and the public is essential. This role must be proactive, resourceful and efficient, and display a high level of professionalism and confidentiality. Expert level written and verbal communication skills, strong decision-making ability and attention to detail are equally important. Must be proficient in various technology programs and platforms.
KEY DUTIES & RESPONSIBILITIES

Manage daily operations of the Superintendent's Office

Provide support to the Superintendent and the Board of School Directors

Manage Superintendent's calendar, schedule meetings, coordinate conferences and travel arrangements

Serve as recording secretary for Board of School Directors and attend all board meetings
-
Serve as Health Trust Secretary and attend meetings
-
Edit and update approved district policies
-
Manage all Board meetings including scheduling, advertising, and agenda preparation

Manage Board records to ensure documents are retained according to Pennsylvania Department of Education established protocols, procedures, and retention guidelines

Maintain Budget and enter purchase orders
QUALIFICATIONS - EXPERIENCE - KNOWLEDGE
Minimum: Associate's Degree
-
5+ years of experience
-
Or an equivalent combination of education and experience
-
A strong background in an executive environment is preferred

Exceptional written and verbal communication skills

Strong organizational and multitasking abilities

High level of professionalism, discretion, and confidentiality
-
Ability to work independently and exercise sound judgment

Proficiency in Google Workplace or Microsoft Office Suite, AI tools and office technology systems

Exceptional project management skills

Ability to manage complex interpersonal situations with professionalism and diplomacy

Strong attention to detail and accuracy
TERMS OF EMPLOYMENT

12-month position

Compensation: $45,000-$70,000 based on skills, ability, and experience
