Executive Assistant / Volunteer Coordinator

Job Description – Volunteer Coordinator / Executive Assistant

Las Vegas Nonprofit is looking for RELIABLE, COMMITTED, RESOURCEFUL, INTUITIVE, DETAIL- ORIENTED, TEAM-ORIENTED team member with multiple skill sets incl but not limited to strong data management and volunteer coordination!

The Executive Assistant position is a full-time position with several areas of focus including General Administrative Duties, Volunteer Coordination and Management, and Special Event Support. Requires creative, detail-oriented, multi-talented individual comfortable working in a small but dynamic cross-functioning nonprofit team.

General Administrative Duties: Individual will be responsible for a range of administrative tasks which support and enhance the business, communication and programming objectives of our organization.

Volunteer Coordination – Individual will supervise volunteers and provide management, direction, coordination and consultation for all volunteer functions within the organization.

Special Events Coordination & Support – Individual will help develop, coordinate, implement and oversee programming and special fundraising events within the organization.

Social Media Content Creation & Management – Individual will develop, coordinate, implement and oversee organization’s social media platforms.

Administrative Skills/Responsibilities:

  • Pleasant phone demeanor.
  • Solid data entry and typing skills.
  • Solid writing and proofreading skills.
  • Ability to communicate effectively over the phone and in-person.
  • Ability to work in self-directed and collaborative team environment.
  • Assist in tracking office supply inventory.
  • Handle confidential information when taking minutes for Board Meetings.

Volunteer Coordination Skills/Responsibilities:

  • Strong ability to multi-task and prioritize.
  • Manage our Constant Contact Volunteer Database.
  • Promote and maintain a wide range of volunteer opportunities within the organization.
  • Ensure volunteers are staffed to support the organization’s many and varied special events.
  • Schedule all volunteer activities.
  • Manage volunteer policies, procedures and standards of volunteer service.
  • Act as a single point of contact for volunteer communications.
  • Confer with volunteers to resolve grievances and promote cooperation and interest.
  • Coordinate with various sponsors and corporate and organizational groups to schedule and implement volunteer opportunities.
  • Develop, organize and participate in volunteer appreciation programs to ensure volunteer loyalty, effectiveness and satisfaction.
  • Maintain and accurately track & report statistical and activity reports on volunteer participation and hours.
  • Maintain and accurately track & report statistical and activity reports detailing school ratings, distribution numbers, and required annual CCSD reports.
  • Attend volunteer recruiting and awareness events.
  • Build relationships with groups through service partnerships.
  • Work hands-on at all regular and special events.

Special Event Coordination Skills/Responsibilities:

  • Maintain a working knowledge of the Foundation mission, programs and protocols to promote the organizations fundraising, program and volunteer initiatives.
  • Demonstrate strong ability to multi-task, prioritize and meet deadlines.
  • Coordinate and support programming and special events, and development of activities involving donors, participants, sponsors, and corporations.
  • Prepare all materials required for the successful implementation of each special event including collateral, supplies, materials etc…
  • Manage invite lists, follow ups, mailings etc within Constant Contact
  • Manage volunteer lists, calls, reminders and follow-ups within Constant Contact
  • Manage and coordinate special event volunteers.
  • Oversee all electronic communications, social media, etc.
  • Assist as appropriate in all special event activities.
  • Perform other duties or special projects as required or assigned.

Social Media Skills/Responsibilities:

  • Craft creative content highlighting our mission and impact -- storytelling which connects with our volunteers, donors, sponsors and general followers.
  • Develop social media strategies to support special events, increase brand visibility and engagement across Facebook and Instagram platforms.
  • Manage content calendar and interact with follower engagement.

Requirements:

  • Associates or Bachelor’s Degree preferred, or equivalent required.
  • School or job-related experience leading a team or organization, managing volunteers
  • Certificate in Volunteer Management a plus
  • Ability to manage a wide array of tasks, projects and responsibilities
  • Ability to meet deadlines
  • Ability to work independently and as a valuable team member
  • Detailed record keeping and excellent organizational skills.
  • Strong and effective communication skills, both written and verbal.
  • Be comfortable fielding all office telephone calls and inquiries
  • Professional office appearance.
  • Proficiency in Constant Contact
  • Highly Proficiency in Canva
  • Proficiency in Graphic Design a plus
  • Highly Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint), emphasis on Excel
  • Proficiency with various Social Media Platform (Facebook, Twitter, Instagram). Must be able to provide high quality examples.
  • Proficiency in GiveSmart Platform, a plus
  • Willingness to adjust hours to accommodate the various needs of the job.
  • Willingness to be flexible, including working overtime, and performing responsibilities not specifically identified in the job description and assuming new responsibilities as the organization’s needs change.
  • Demonstrate capability to conduct oneself in a calm and professional manner when dealing with the public, and in difficult or complex situations
  • Must have a vehicle.

Job Type: Full-time

Pay: $50,000.00 - $62,000.00 per year
