Executive Assistant - Wealth Management

Job Summary
We are seeking a highly organized and proactive Executive Assistant to provide administrative support to four financial advisors. We currently have one assistant who has been with us 27 years, and you would work together to support the advisors on a daily basis. This role includes recurring tasks, ad-hoc tasks, answering phones, talking with clients, and other administrative duties. The ideal candidate will be someone with 15+ years of executive assistance experience, who is detail oriented, friendly, and flexible. Our office is low-stress, generally quiet, has flexible time off, early leave on Friday's, and a family feel.

Responsibilities

  • Handle incoming calls using multi-line phone systems, demonstrating polite phone etiquette and customer service skills
  • Type up and email out monthly communication reports and insert graphs, links, photos to document
  • Be able to learn new technology - ClientWorks, WealthBox, Constant Contact, etc.
  • Manage, set up, and monitor annual Required Minimum Distributions for clients.
  • Assist with office management tasks such as supply ordering, equipment maintenance, and front desk duties including greeting visitors and managing the front desk area

Requirements

  • Proven experience as an executive assistant or in an administrative support role within an office environment
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Excellent organizational skills with the ability to multitask effectively
  • Demonstrated experience in office management, clerical work, customer service, and handling multi-line phone systems
  • Knowledge of programs such as Constant Contact, WealthBox, and ClientWorks is a plus
  • Exceptional typing speed with accuracy; proofreading skills are highly valued
  • Strong time management skills with the ability to prioritize tasks efficiently
  • Personal assistant experience is beneficial for supporting executive needs effectively

We would love for you to join our Family Office as we look to fill the space of our current executive assistant who is retiring. Our office is generally relaxed, not high stress, flexible, friendly, and a welcoming place to work. The work is very important and detail oriented, and someone who is willing to handle administrative tasks as well as important tasks of moving money, required minimum distributions, follow up on requests, and problem solving will be the right fit for us!

Pay: $65,000.00 - $75,000.00 per year
