Overview
We are seeking a dynamic and highly organized Executive Assistant, AP Clerk, and Receptionist to join our team. Executives Duties
- Provide comprehensive executive administrative support to the President and Executive Leadership team.
- Manage calendars, appointments, meetings and travel arrangements
- Manage front desk operations with professionalism, greeting visitors and handling multi-line phone systems with courtesy and efficiency
- Prepare professional correspondence, reports, presentations and meeting materials
- Assist with board meeting preparation, agendas, minutes and document organization
- Coordinate internal and external communications
- Maintain confidential files and sensitive company information
- Track projects, deadlines and follow-up items for leadership
- Assist with event coordination, grower meetings and company functions
- Support operational and management teams with administrative needs
- Organize electronic and physical filing systems
- Assist with special projects and strategic initiatives as assigned
Accounts Payable / Receptionist Duties
- Serve as the primary front desk contact for visitors, vendors, growers and employees.
- Answer and direct incoming phone calls professionally and efficiently
- Process Accounts Payable invoices accurately and timely
- Match invoices, purchase orders and receiving documentation
- Assist with vendor communication and payment inquiries
- Maintain AP filing systems and accounting records
- Support accounting staff with data entry and administrative tasks
- Monitor office supplies and place orders as needed
- Distribute mail and manage incoming/outgoing deliveries
- Assist with payroll or HR administrative support when needed
- Maintain a clean, organized, and professional front office environment
Requirements
- Proven experience in an administrative or office support role with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and office management tools such as DocuSign
- Excellent typing speed and accuracy for data entry, transcription, and proofreading tasks
- Bookkeeping and basic accounting procedures
- Strong phone etiquette skills with experience managing multi-line phone systems
- Exceptional organizational abilities with keen attention to detail and ability to prioritize tasks effectively
- Experience in event planning and project coordination is highly desirable
- Ability to handle confidential information discreetly while providing outstanding customer service
- Prior experience as a personal assistant or receptionist is preferred but not required
