About Cedar Cove Ranch Cedar Cove Ranch is a premier destination for corporate retreats, hunting expeditions, and picturesque weddings. We are seeking a versatile and motivated individual to fill a dual role as Executive Assistant/Marketing Intern, providing administrative support to our President/CEO while gaining hands-on marketing experience.

Job Overview

This unique position combines executive administrative support with marketing responsibilities, offering an exceptional opportunity for professional growth in both areas. The successful candidate will support the President/CEO's daily operations while contributing to our marketing initiatives and brand development efforts.

Key Responsibilities Executive Assistant Duties (70% of role)

1. Administrative Duties - Manage the President/CEO's schedule, including business meetings, ranch events, and personal commitments - Coordinate appointments, travel arrangements, and ranch visits - Prioritize and manage competing demands on the executive's time - Prepare and organize documents, reports, and presentations - Maintain filing systems and database management - Handle invoice processing and expense reporting - Coordinate office supplies and equipment maintenance - Assist with project coordination and follow-up tasks - Manage confidential information with discretion

2. Communication - Act as a liaison between the President/CEO and staff, clients, vendors, and partners - Screen and prioritize incoming communications (emails, phone calls, correspondence) - Draft and edit correspondence, presentations, and reports related to ranch operations and events

3. Vendor/Stakeholder Coordination - Manage relationships with key vendors, suppliers, and service providers - Coordinate contract negotiations and renewals under the CEO's guidance - Organize and facilitate meetings with important stakeholders, including investors and community leaders - Ensure timely follow-up on commitments made to vendors and stakeholders

4.Personal Support - Assist with school pick-ups and drop-offs for the CEO's 8-year-old child, as needed - Coordinate and schedule child-related activities and appointments - Manage personal errands and tasks as requested by the CEO. Minimal time commitment.

5. Travel Management - Arrange travel between the McKinney office and the ranch property - Coordinate business travel, including arrangements for industry conferences and client meetings.

Marketing Duties (approximately 30% of role)

1. Digital Marketing & Social Media - Assist in managing social media accounts (Instagram, Facebook, LinkedIn, etc.) - Create engaging content showcasing ranch activities, events, and facilities - Monitor social media analytics and engagement metrics - Support email marketing campaigns and newsletter development

2. Content Creation & Proposals - Assist in the preparation of marketing materials and presentations for potential clients - Photograph and document ranch activities and facilities - Write compelling copy for marketing materials, website content, and social media posts - Coordinate and manage VIP visits to the ranch

3.Market Research & Website Support - Research industry trends in hospitality, hunting, and wedding venues - Help update website content (back-end) - Assist with online review management and reputation monitoring - Support development of marketing reports and presentations

Qualifications - Bachelor's degree in Business Administration, Marketing, Communications, or related field - 2-5 years of experience in administrative support or marketing (or combination of both) - Exceptional written and verbal communication skills

- CANVA experience - Advanced proficiency in Microsoft Office Suite and Calendar Management - Strong organizational skills with meticulous attention to detail - Basic knowledge of social media platforms and digital marketing tools - Ability to maintain confidentiality and exercise discretion - Excellent time management skills and ability to multitask effectively - Adaptability to changing priorities and dual role responsibilities - Proactive problem-solving skills - Professional demeanor and strong interpersonal skills - Comfortable with child-related responsibilities and maintaining a family-friendly approach - Valid driver's license and clean driving record

Preferred Qualifications - Experience with content management systems and email marketing platforms - Previous experience balancing administrative and creative responsibilities
