This is an on-site role for an Administrative Assistant specializing in video production, events, and post-production. The Administrative Assistant will be responsible for performing a variety of administrative tasks, including, but not limited to, managing phone calls, scheduling appointments, handling correspondence, and supporting executive staff. Additional tasks include organizing files and emails daily, setting up deliveries, general office duties, assisting in coordinating creative projects, and managing timelines with creative teams. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, ready to handle a variety of tasks that keep our organization running efficiently. Creating estimates.
- Comfortable drafting responses from company president via dictation
- Comfortable answering phones, transferring , starting meetings.
Role Highlights:
- Support the company president in various tasks.
- Manage shipping/receiving of hard drives and video equipment.
- Extend hospitality by greeting clients and directing them.
- Handle a multi-line phone system with finesse.
- Keep office/kitchen supplies well-stocked.
- Coordinate catering for in-house and off-site productions.
- Calendar and email management for the company president.
Preferred Skills:
- Experience in video production
- Administrative skills: Transcribing, email correspondence, conference call coordination, and spreadsheet upkeep.
Must-Haves:
- Detail-oriented with a collaborative spirit.
- Proficiency in Microsoft Outlook, Word, and Excel.
- Skills in Administrative Assistance and Clerical Tasks
- Proficiency in Phone Etiquette and Communication
- Experience in Executive Administrative Assistance
- Proficiency with Excel, Outlook, Calendar management, zoom.
- Strong organizational skills and attention to detail
- Excellent interpersonal skills and the ability to work collaboratively
- Ability to transcribe from dictation over the phone
- Bachelor's degree in Business Administration, Communications, or related field is preferred
- Experience in the multimedia or production industry is a plus
