Executive Assistant/Office Manager

Role Description:

  • This is a full-time on-site role for an Executive Assistant | Office Manager at R.C. Mathews Contractor in Nashville, TN. The role involves supporting the executive team, handling administrative tasks, managing office equipment, providing customer service, and overseeing office administration on a daily basis.


Key Responsibilities:

Executive Assistant Support

  • Work directly with the President to handle his day to day tasks and needs
  • Manage calendars, including scheduling meetings, prioritizing appointments, and resolving conflicts
  • Provide personal assistant support, including handling confidential and time-sensitive tasks with discretion


Office Operations & Facilities Management

  • Manage and maintain conference room schedules
  • Coordinate meeting room setup and cleanup
  • Oversee general office organization and cleanliness


Meetings & Events

  • Coordinate and order catering for meetings and office events
  • Provide on-site event support, including setup, coordination, and breakdown


Mail, Shipping & Vendor Coordination

  • Handle all incoming and outgoing shipping requests
  • Manage postage system, copiers, and other office equipment


Inventory & Supply Management

  • Order and maintain office supplies
  • Track and manage inventory of company merchandise and apparel


Qualifications:

  • Communication and Customer Service skills
  • Administrative Assistance and Office Administration skills
  • Strong organizational and multitasking abilities
  • Ability to see problems and address them with minimal oversight
  • Attention to detail and problem-solving skills
  • Experience in the construction industry is a plus
  • Proficiency in MS Office (Word, Excel, Outlook)
