About This Role

This is a part-time, in-person Executive Assistant role primarily supporting our CEO and two SVPs, with a secondary responsibility helping steward the operational and experiential heartbeat of our office.

The majority of your time (~50%) will be direct support to our CEO: managing a fast-moving calendar, staying close during in-office days, anticipating needs before they arise, and helping him move through his day with fewer friction points and greater focus. Another portion of your time (~25%) will support two busy Senior Vice Presidents with scheduling, travel coordination, and administrative support.

The remainder (~25%) will focus on maintaining a thoughtful, polished, welcoming office environment for employees, candidates, clients, and guests.

This is not a “clock in, clock out” administrative role. It’s a high-trust partnership role for someone who takes pride in being deeply reliable, highly proactive, emotionally intelligent, and operationally excellent. The right person will become a meaningful part of how our leadership team operates day-to-day.

While this role begins part-time, we’re open to evolving it into a broader full-time opportunity over time for the right person as the company grows and the partnership deepens. We want this to feel like a meaningful long-term opportunity, and a full-time version of the role would include fully paid health, dental, and vision benefits, along with the possibility of participating in bonus or profit-sharing opportunities as the company grows.

Loving dogs is a plus, as we have our very own office dog, Ruth.

What You’ll DoExecutive Support (~75% of your time)

  • Manage the CEO’s calendar with precision and excellent judgment—he moves fast, and details matter
  • Stay closely connected during in-office days to anticipate needs and handle logistics in real time
  • Coordinate meetings, protect focus time, identify conflicts early, and exercise judgment around priorities and time allocation
  • Handle correspondence, follow-ups, and communication on the CEO’s behalf with professionalism, warmth, and discretion
  • Provide calendar management, travel coordination, and administrative support for two (remote) Senior Vice Presidents
  • Coordinate with external stakeholders, clients, candidates, and partners in a way that reflects the culture and values of Integral
  • Support travel booking, itineraries, logistics, and occasional personal assistance as needed
  • Help leadership stay organized, responsive, prepared, and focused amid a fast-moving environment

Office & Operations Support (~25% of your time)

  • Help maintain an office environment that feels thoughtful, polished, warm, and highly functional
  • Ensure meeting rooms and shared spaces are prepared for client meetings, interviews, events, and team gatherings
  • Monitor and replenish office, kitchen, and hospitality supplies
  • Coordinate incoming and outgoing mail, packages, couriers, and deliveries
  • Serve as a welcoming and organized presence for guests, candidates, clients, and partners
  • Coordinate with building management and vendors as needed
  • Help support occasional team events, offsites, and in-office experiences

You’ll Succeed If You Have

  • 1–5+ years of experience in executive support, operations, administrative partnership, hospitality, or a similarly high-accountability role
  • Exceptional attention to detail—especially around scheduling and communication, where small mistakes have outsized consequences
  • Strong judgment and the confidence to push back respectfully when appropriate
  • A proactive, ownership-driven mindset: you notice what needs doing and handle it before being asked
  • Excellent written and verbal communication skills
  • Comfort operating around senior executives, clients, and fast-moving priorities
  • High emotional intelligence and discretion with confidential information
  • Comfort being physically present, engaged, and on your feet in a hybrid operational role
  • Strong familiarity with Google Workspace, Slack, Zoom, Microsoft Teams, and modern workplace tools
  • A genuine desire to become indispensable to a team you believe in

Nice to Have

  • Experience supporting a founder or CEO
  • Experience in a creative agency, consulting, media, communications, or professional services environment
  • Familiarity with Asana or similar project management/workflow tools
  • Interest in growing into broader operations, executive partnership, or organizational leadership responsibilities over time

Compensation & Benefits

  • $38–$48/hour depending on experience
  • Approximately 25 hours/week, Monday through Friday
  • Primarily in-person at our Flatiron office (9 W 19th St, Manhattan)
