Executive Assistant/Office Manager

The Junior League of Springfield, MO, a 501c3 organization, is seeking a dynamic and highly organized Executive Assistant/Office Manager to join our team. This pivotal role combines executive administrative support with comprehensive office management, ensuring smooth daily operations and seamless coordination across committees. Responsibilities

  • Provide top-tier administrative support to the Board of Directors and Committee Chairs, including managing calendars, scheduling meetings, and coordinating travel arrangements for conferences.
  • Oversee daily office operations, including reception duties, filing systems, and maintaining office supplies to ensure a well-organized workspace.
  • Assist in planning events such as meetings and fundraisers.
  • Manage correspondence through phone etiquette, email communication, transcription, proofreading, and data entry to ensure clarity and professionalism.
  • Handle bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and basic bookkeeping responsibilities.
  • Maintain donor database records through filing systems, data entry, and clerical tasks while ensuring confidentiality of sensitive information.
  • Provide exceptional customer service at the front desk by greeting visitors and members, answering phone systems efficiently, and directing inquiries appropriately.

Requirements:

  • Proven experience in office management or administrative roles with strong organizational skills.
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and Canva.
  • Experience with QuickBooks for bookkeeping and basic financial tasks.
  • Strong typing skills along with transcription and proofreading abilities for professional communication.
  • Excellent phone etiquette.
  • Ability to handle data entry accurately while managing multiple priorities simultaneously.

Schedule:

  • Part-time, 20-25 hours per week
  • Monday – Friday, daily office hours to be determined upon hiring.

Education/Experience Requirements:

  • High school degree required.
  • Business or accounting degree preferred, or other related field of study.
  • 3-5 years professional work experience required in financial management, accrual accounting, office management, and administrative duties

Pay: $20.00 - $23.00 per hour
