Job Summary
We are seeking a dynamic and highly organized Executive Assistant/Office Manager based in NYC to support our leadership team and oversee daily office operations. This role is essential in ensuring seamless administrative functions, managing schedules and coordinating projects. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to thrive in a fast-paced setting.
Duties
- Travel Coordination: Arrange and manage travel logistics, ensuring seamless coordination of flights, accommodations, and ground transportation.
- Calendar Management: Oversee and maintain the Co-founder’s schedule, ensuring all meetings and appointments are organized, timely, and well-prepared.
- Document Organization: Maintain a well-organized document filing system, ensuring all records are up-to-date and easily accessible.
- Contract Handling: Oversee the preparation, review, and management of contracts, ensuring proper filing and completion of all necessary paperwork.
- Partner Communication: Serve as the point of contact for external partners and collaborators, managing follow-ups and maintaining strong professional relationships.
- Invoicing & Billing: Handle all invoicing processes, ensuring the timely and accurate execution of billing and payments.
- Adaptability & Responsiveness: Handle last-minute requests and changes with efficiency, maintaining a high level of flexibility to support dynamic priorities.
- Effective Communication: Utilize strong written communication, particularly via text, to ensure clarity and prompt responses.
- Task Prioritization: Focus on completing tasks with efficiency, emphasizing results over perfection to meet deadlines and objectives.
Requirements
- 3+ years of work experience
- Proficient in Google sheets/docs/drive, mac, able to adopt new technology and apps.
- Thrives in Fast-Paced Environments: Ability to prioritize and juggle multiple tasks in a fast-moving, high-pressure environment.
- Flexibility: Demonstrates flexibility and quick thinking in response to changing needs and priorities, handling unpredictable requests with ease.
- Grounded Approach: Maintains a down-to-earth demeanor, focusing on results and performance rather than being influenced by high-profile or entertainment culture.
