Job Title: Executive Assistant / Personal Secretary – Female Only

We are looking for a polished, confident and service-oriented Executive Assistant cum Personal Secretary to support our senior leadership team and serve as the welcoming face of our organisation at the World Trade Center, Dubai. The ideal candidate is impeccably presented, agile, energetic and thrives in a fast-paced professional environment. Prior experience in guest relations, VIP hosting or front-of-house roles will be a strong advantage.
Hospitality & Guest Relations
- Greet and welcome clients, guests and VIP visitors with warmth and professionalism
- Arrange meeting room hospitality including refreshments, setup and cleanliness
- Organise and manage VIP visits, corporate events and company gatherings
- Coordinate with vendors, caterers and facility management for all hospitality needs
- Maintain the highest standards of office presentation and ambience at all times
Executive Assistant Duties
- Provide comprehensive and proactive support to senior management and executives
- Manage busy calendars, schedule appointments and coordinate meetings
- Prepare reports, presentations and executive correspondence with attention to detail
- Handle calls, emails and communications professionally on behalf of executives
Secretarial & Office Duties
- Maintain organised filing systems (digital and physical) for confidential documents
- Draft, proofread and format professional letters, memos, minutes and reports
- Take accurate meeting minutes and follow up on all action items
- Manage office supplies and ensure smooth day-to-day office operations
- Serve as the first point of contact for all internal and external communications
Requirements
- Minimum 2 years' experience as an Executive Assistant, Personal Secretary or similar role
- Impeccably presented, well-groomed and professional in appearance
- Agile, active and able to manage multiple tasks efficiently under pressure
- Strong organisational, communication and interpersonal skills
- Experience in guest relations, VIP hosting or receptionist duties is preferred
- Ability to handle confidential information with full discretion
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook)
- Currently based in Dubai (mandatory)
- Fluent in English - Multilingual would be given preferrence (Spanish, Russian, Romanian)
