Home Instead is a trusted home caregiving agency dedicated to providing compassionate, high-quality care to seniors and clients in need. We are seeking a detail-oriented and tech-savvy Executive Assistant to support our management team and enhance client services.

Position Overview:
The Executive Assistant will serve as a key support to agency management and ownership. This role requires advanced computer skills, strong knowledge of home care operations, and the ability to collaborate with a team. The ideal candidate will assist with care plans, client concerns, caregiver coordination, and ensure smooth day-to-day administrative functions.

Key Responsibilities:

  • Assist management and owners with daily administrative support and operational tasks
  • Create, update, and maintain client care plans in alignment with agency standards
  • Address client and family inquiries or concerns in a timely, professional manner
  • Collaborate with caregivers and field staff to ensure top-quality service delivery
  • Utilize advanced computer skills to manage scheduling software, electronic records, reports, and documentation
  • Support compliance efforts including documentation accuracy and regulatory procedures
  • Participate in team meetings and contribute to process improvements
  • Assist with caregiver onboarding, training coordination, and internal communication
  • Monitor and follow up on client satisfaction and service outcomes
  • On Call rotation including weekends

Qualifications:

  • Minimum of five years experience in home care or caregiving industry required
  • Advanced computer proficiency (Microsoft Office, scheduling platforms, data entry, electronic care systems)
  • Strong organizational skills and attention to detail
  • Excellent communication and problem-solving abilities
  • Team-oriented mindset with ability to collaborate across departments
  • Ability to multitask and manage shifting priorities in a fast-paced environment
  • Compassionate and client-focused approach
  • Knowledge of state home care regulations and care documentation procedures
  • Experience with care coordination or case management
