About the Role:

The Executive Business Partner will act as a trusted advisor to the Chief Executive Officer, playing a pivotal role in ensuring the executive office operates seamlessly and efficiently. This is far more than a traditional executive assistant role: in addition to managing calendar, travel, and logistics, the ideal candidate will provide strategic support, delivering data-driven insights, reviewing key documents, and identifying opportunities to optimize business processes.

This role is designed for a proactive, high-impact professional who wants to operate as a true partner to the CEO. You will help shape decisions, drive operational efficiency, and contribute directly to the company’s growth and success. Thriving in this role requires anticipating needs, streamlining workflows, leveraging technology effectively, and confidently engaging with stakeholders at all levels. Key Responsibilities:

Executive Support

  • Serve as the primary liaison between the CEO and internal/external stakeholders, ensuring clear, timely, and professional communication.
  • Manage and optimize the CEO’s complex calendar, meetings, and travel for maximum productivity.
  • Screen and prioritize incoming requests, calls, and communications with sound judgment, providing timely reminders and ensuring critical follow-ups are completed.
  • Prepare high-quality correspondence, agendas, talking points, reports, presentations, and executive briefs.
  • Anticipate needs and proactively resolve conflicts or scheduling challenges.
  • Help coordinate internal and off-site events, including team-building activities, celebrations, and conferences.
  • Perform additional administrative tasks as needed.

Strategic & Analytical Support

  • Gather, analyze, and synthesize data to provide actionable insights that support informed decision-making.
  • Assist with running reports and creating dashboards that highlight key metrics.
  • Review contracts, proposals, and important documents to ensure accuracy, mitigate risk, and align with company objectives.
  • Identify process gaps and streamline operations to drive efficiency across departments.

Business Partnership

  • Serve as a strategic advisor and trusted partner to the CEO, providing insight and perspective on business priorities.
  • Collaborate with leadership on special projects, initiatives, and strategic planning efforts.
  • Ensure the CEO’s priorities are aligned with organizational objectives and executed effectively.

Confidentiality & Professional Conduct

  • Handle confidential and sensitive information with the highest level of integrity and discretion.
  • Maintain professionalism, responsiveness, and sound judgment during and outside standard working hours.
  • Flexibility to respond to urgent requests outside standard business hours as needed.

Qualifications:

  • Bachelor’s degree in Business Administration, Communications, or a related field preferred; equivalent combination of education and experience considered.
  • 5+ years of relevant experience as an Executive Assistant, Chief of Staff, Business Analyst, or similar role supporting executives in fast-paced environments.
  • Exceptional verbal and written communication skills with strong command of grammar, spelling, and punctuation.
  • Strong business acumen, with experience analyzing data, reviewing contracts, or managing projects.
  • High level of discretion, professionalism, and judgment in handling sensitive information.
  • Outstanding organizational, problem-solving, and prioritization abilities, with meticulous attention to detail.
  • Intermediate to advanced proficiency in Microsoft Office Suite and a strong aptitude for leveraging technology, especially AI, to optimize efficiency.
  • Occasional travel may be required (e.g., company events, base visits)
  • Experience with contracts or legal documentation preferred.
  • Master’s in Business Administration (MBA) or equivalent advanced degree is preferred.

Work Location: In-person and on-site.

Reporting: Reports directly to the Chief Executive Officer.

Salary:

  • Range: $80,000-$95,000
  • Salary will be commensurate with the candidate's education, experience, and skills.
