The Job – What You Will Do as Executive Business Partner


You will perform all of the back end administrative functions that keep the Firm running and keep the CEO in her highest and best function.

Executive & Calendar Management – Keep CEO in Highest and Best Use

  • Manage a CEO’s calendar, appointments, and travel, setting and confirming apts.
  • Manage incoming email flow

Project & Operations Coordination – Own the Back End Processes that Keep us Running

Own the hours assignments – you will be the project manager over the Firm’s team capacity, reviewing the project hours, adjusting project hours for the team from the initial project set up through adjusting the hours for ongoing changes in the project, to reviewing the results

  • Set up new client engagements in the firm’s project management system
  • Capacity planning in bigtime – adjust project hours
  • Monitor project budgets and budget to actuals, compiling reporting and KPIs
  • Track and update internal dashboards and metrics to ensure “the trains run on time”
  • Support documentation of firm processes, systems, and standard operating procedures as the firm scales. Document it. make it better. Automate and create efficiency within the Firm.
  • Oversee office management including supplies, mail, and vendor coordination.
  • Support internal hiring processes, onboarding logistics, and staff scheduling when needed.
  • Manage special projects that enhance efficiency, organization, and client experience.

Sales Enablement – Support the Back End Revenue Generation

  • Support the CEOs sales process by logging information into the CRM system to keep customer data up to date
  • Send client engagement letters, receive signed agreements, log into the CRM system and set up the new client file
  • Support client relationship management—send cards, check-ins, gifts and follow-ups that demonstrate high-touch service
  • Assist with drafting invoices for billing
  • Follow up on accounts receivable balances

Executive Business Partner - What You Have


  • Experience supporting a senior executive or business owner with calendar, communication, and operational coordination.
  • Strong organizational and prioritization skills; able to manage multiple moving parts with accuracy and speed.
  • A proactive, solution-oriented mindset—when issues arise, you solve them.
  • Comfort operating with limited direction; independent, accountable, and resourceful.
  • Tech fluency and comfort learning new tools quickly – you have experience using AI and are excited by learning and implementing new systems
  • Excellent written and verbal communication skills; professional and clear client correspondence.
  • High attention to detail with the ability to move fast without sacrificing accuracy.
  • Flexibility to adapt to a growing business, evolving systems, and changing priorities.
  • A sense of humor, low-drama attitude, and commitment to being part of a high-performing team.

Executive Business Partner - Benefits For You


Your compensation will be $75,000 to $90,000 salary, plus opportunity for additional incentive bonus based on contribution to the Firm.

You will be offered your choice of medical insurance with Firm contribution towards your premium, paid holidays and paid time off, 401k with company contribution and an additional profit share opportunity.

Hybrid schedule – working two days per week in office in Rocklin.
